Overview:


The West Valley Mavericks Foundation (the "Foundation") is a leading nonprofit organization dedicated to making the West Valley of Metro Phoenix a better place to live, work, and play through a focus on Charity, Commerce, Culture, and Community.

With an annual operating budget of close to $3 million, the Foundation is seeking an experienced and strategic Sponsorship and Operations Director to play a critical role in executing the Foundation's plan for growth and impact.


Position Summary:
The Director will be a key leader within the Foundation.

This individual will report to the Employment Committee Chair and work closely with the Foundation leadership, event chairs, and other staff to execute the Foundation's missions and goals.

The Director will be responsible for Sponsor Management, Procurement Management, Operational Management, Beneficiary Relationship Management, and Marketing Oversight.


Key Responsibilities:

Manage the seasonal and event sponsor relationships.

  • Works closely with event chairs and the sponsorship committee. o Prepare all invoices and contracts for sponsorships.
  • Manage collection of invoices.
  • Manage collection of sponsor deliverables.
  • Manage Foundation deliverables for sponsors (ticketing, signage, marketing, etc.).
  • Maintain regular communication with event and season sponsors.
  • Work with the sponsorship committee to identify risks and opportunities within sponsor relationships.
  • Maintain sponsor related CRM and sales tracking system(s). o Work with the sponsorship committee to develop and maintain a database of external stakeholders (community leaders, community organizations, dignitaries).
  • Works closely with event chairs and the employment committee.
  • Create and manage an approved vendor list (research potential vendors, maintain ongoing feedback on effectiveness of existing vendors from appropriate stakeholders, ensure multiple vendor options are available, regularly assess vendor cost competitiveness and reputation).
  • Create and manage a database on vendor agreements to ensure Foundation responsibilities are met.
  • Oversee collection and payment of vendor invoices.

Systems and process

  • Create and manage an approved systems list (research potential systems, maintain ongoing feedback from appropriate stakeholders on the effectiveness of existing systems, ensure system compatibility, assess system cost effectiveness).
  • Ensure CRM is up to date and its capabilities are maximized.
  • Create working process documents that highlight best practices, policies and procedures that directly impact Foundation sponsors, vendors, and beneficiaries (i.e. calendars, timelines, play books, etc.).
  • Create systems training documents as needed.
  • Manage a list of system access (i.e. who has access to the various systems).
  • Provide updates and reports as needed for the employment committee, sponsorship committee, and Board of Directors.

West Valley Mavericks Foundation Marketing

Responsible for the following Foundation specific marketing needs (will work with vendors and staff as appropriate):

  • Social Media (including posts, comment review and response, etc.)
  • Brand standards and awareness
  • Website content
  • Beneficiary recognition
  • Sponsor recognition
  • Mavericks in the community recognition
  • Maintain and organize all Maverick collateral (pictures, videos, brochures, etc.)
  • Supports the appropriate vendors and event chairs on Event specific marketing needs.

Beneficiary Management

  • Engage with Beneficiaries (i.e. understand their needs and updates, public relations, volunteer and engagement opportunities, etc.)
  • Track grant giving and results.
  • Develop and maintain a beneficiary database.
  • Plan and execute the annual Beneficiary award event.
  • Work with Beneficiary committee and Foundation Treasurer to coordinate the delivery of awarded checks.

Miscellaneous

  • Attend all West Valley Maverick board of directors and general meetings. o Attend a portion of the annual board retreat.
  • Meet as needed with event chairs, treasurer, and other subcommittee chairs.
  • Work with the treasurer to pick up mail, organize and categorize deposits and expenses.

Qualifications:


  • Bachelor's degree in business administration, nonprofit management, or a related field, or minimum of 5 years applicable work experience.
  • Minimum of 5 years of progressive experience in nonprofit business operations or a similar leadership role. Relevant nonprofit experience a plus.
  • Strong analytical, and problemsolving skills.
  • Excellent communication, negotiation, and relationshipbuilding abilities.
Proven track record of financial management, budgeting, and resource allocation.
