The Fleet Safety Specialist maintains companywide compliance of commercial and non-commercial drivers and vehicles.They are responsible for meeting DOT/FMCSA reporting requirements, overseeing driver qualifications, managing and maintaining company fleet, and heading up auto accident investigations and claims.
- Work closely with management to understand fleet needs at each location.
- Maintain records of all vehicles owned or leased by the company.
- Maintain Driver Qualification files as required by law. Including maintaining up to date MVR's, Medical Cards, Driver Licenses, and HAZMAT Certifications.
- Manage FMCSA Clearinghouse.
- Maintain all aspects of drivers' ELDs (Electronic Logging Devices), including reporting, problem solving issues, reassigning vehicles, scheduling installation/deinstallation of devices, and training/retraining of employees.
- Analyze vehicle and maintenance spending on a regular basis and make recommendations for vehicle changes.
- Assess the company's leased fleet and requirements for each year.
- Prepare and submit all quarterly and annual tax and registration filings related to vehicles (IFTA, NY HUT, registrations, etc.).
- Prepare incoming and exiting vehicles with appropriate paperwork, schedule lettering, and complete registration and title paperwork to ensure compliance with federal and state laws.
- Communicate vehicle financial information to the Controller to ensure proper recordingkeeping for tax purposes.
- Manage vehicle accident claims and act as liaison between drivers, insurance companies, and repair shops.
- Support HR in the recruitment and onboarding of new drivers.
- Develop and deliver fleetrelated training.
- Participate in the company safety committee.
- Work with HR to ensure random drug & alcohol program is followed.
- Travel to branches as needed to support fleet needs such as ELD Maintenance, Auto Accident Investigations, New Vehicle Purchases / Intercompany Vehicle transfers.
- Other duties as assigned.
Preferred Skills:
- Prior Fleet Experience
- Understanding of DOT and FMCSA Compliance
- CDL Experience Beneficial - Not Required
- Attention to Details
- Proficient in MS Office (Word, Excel, PowerPoint)
- Ability to meet safety standards
- Valid Driver's Licenses with ability to maintain throughout duration of employment
