Summary

Under the direct supervision of the program director and assistant program director, the administrative assistant provides administrative and executive support.

The assistant helps oversee and coordinate the office's day-to-day activities and may serve as a principal point of administrative contact and liaison with Premier Academy clientele.


Essential Functions

  • Helps oversee and administer the daytoday activities of the office; helps develop procedures and systems that ensure productive and efficient office operation.
  • Independently prepares nonroutine letters and/or reports, which may be highly sensitive and confidential.
  • Helps to organize and process payroll data in a limited way.
  • Helps maintain a participant database (ProCare) comprising student and parent/guardian information for attendance, billing, enrollment, etc.
  • Helps with overseeing the operation of office accounts, manages the purchase of supplies, and follows the budget and purchasing instructions provided.
  • Provides direct support to the Assistant Program Director and Director, including greeting and assisting visitors, handling phone calls and inquiries, scheduling and maintaining calendars and travel arrangements, handling daytoday public relations and problemsolving, providing transcription and word processing support, and enrolling Premier Academy students.
  • Helps oversee and facilitate personnel administration procedures and documentation for the office and coordinates recruitment planning and searches, as appropriate.
  • Aids in understanding and interpreting Premier Academy and Communities In Schools of Southeast Harris and Brazoria County's policies and procedures, as appropriate, ensures that office and campus operations follow policy provisions and standards.
  • Assists with the development and preparation of forms and documents. Familiar with adobe sign.
  • Maintains a spreadsheet of deadlines and required documents.
  • Performs miscellaneous jobrelated duties as assigned.

Knowledge and Skills

  • Associate's degree or High school diploma or GED with directly related administrative expertise in fiscal services, administration, and human resources gained through 5 years of equivalentlevel work experience.
  • Ability to work in a fastpaced Premier Academy environment.
  • Ability to meet strict deadlines.
  • Willingness to maintain the standards carries out the purpose and adheres to Communities In Schools (CIS) policies.
  • Records maintenance skills with the ability to gather data, compile information, and prepare reports.
  • Expert in the use of word processing and spreadsheets, especially Excel.
  • Ability to analyze and problem solve, plan, develop, and coordinate multiple projects.
  • Knowledge of administrative policies and procedures, general accounting principles, and office management.
  • Skill in organizing resources and establishing priorities.
  • Skills in budget and fiscal management.
  • Ability to foster a cooperative work environment.
  • Ability to manage confidential information appropriately.
  • Strong interpersonal, verbal, and written communication skills and the ability to work effectively with various constituencies in a diverse community.
  • Ability to work with minimum supervision and as a member of a team.
  • Means of selftransportation during the workday.

Language Skills

  • Ability to read, analyze, and interpret policies and procedures.
  • Excellent oral and written communication skills.
  • Bilingual preferred but not required.
  • Ability to function in a diverse job situation.
  • Interact consistently and positively with a diverse group of individuals of the school, city, and state entities, brand subsidiaries, and the state office of CIS.
