    Senior Executive Liaison

    Zaman International, Hope for Humanity is a 501(c)(3) charitable organization that serves as a pre-eminent relief organization. Headquartered in Southeast Michigan, our team is dedicated to facilitating change and advancing the lives of marginalized women and children by enabling them to meet essential needs common to all humankind.

    Job Summary:

    As the Senior Executive Liaison, you will provide administrative support to the C-Suite team, specifically to the CEO, while supporting Zaman's strategic vision. You must possess exceptional organizational and problem-solving skills with the ability to recognize and appropriately handle highly sensitive and confidential material and information.

    Essential Functions:

    • Supports the CEO in all necessary matters.
    • Maintains CEO's calendars, scheduling appointments as well as conference calls, and keeping track of internal & external report due dates.
    • Attends all meetings with the CEO as appropriate and documents follow-up requests as needed.
    • Sets up travel arrangements for the CEO, schedules, and manages related expenses.
    • Prepares agendas, reports, documentation, and presentation material packets for the CEO, Board of Directors, and Board Committee meetings. Prepares, revises, and distributes meeting minutes as directed.
    • Reviews incoming correspondence and initiates responses as appropriate; routes matters requiring action to the CEO, COO, CIO, and other organizations, then follows up to ensure actions are completed appropriately.
    • Retrieves data from various systems and spreadsheets to prepare reports, presentations, and other written materials, including editing the material for accuracy, format, and arrangement.
    • Assists with Zaman's communication department for website and social media needs, especially information pertaining to Zaman's vision and leadership.
    • Creates and/or maintains files, correspondence, and reports for future reference.
    • Retrieves and protects highly sensitive documents in an efficient and effective manner.
    • Works with Program Directors as a liaison to the CEO's office for the preparation of meetings, employee, and volunteer gatherings.
    • Supports the Board of Directors and committees (Governance & Finance) as needed.
    • Develops ad hoc reports as requested by the CEO.
    • Supports special projects and initiatives as directed by the CEO.
    • Prepares, edits, reviews, and disseminates correspondence for the CEO as appropriate.
    • When requested, reviews outgoing correspondence, edits for procedural and grammatical accuracy, conformance to general policy and factual correctness, and advises authors of problems needing attention.
    • Leads the coordination and execution of Zaman's philanthropic and community events.
    • Handles confidential documents and information with a high degree of discretion and integrity.

    Job Specifications:

    • Bachelor's Degree in Business Administration, Communications, or a related field.
    • Exceptional organizational and time management skills.
    • Strong written and verbal communication skills.
    • Ability to work under pressure and meet tight deadlines.
    • Demonstrated ability to handle confidential information and exercise discretion.
    • Experience in a multicultural setting and working within a non-profit organization is preferable.
