Position Overview:
Key Responsibilities:
Invoice Management:
- Collect bills from vendors and ensure timely payments.
- Review invoices for accuracy and verify against received goods or services.
- Coordinate with Admin Analyst to ensure all expenses align with budgetary constraints.
- Negotiate with vendors to optimize terms and pricing as necessary.
Vendor Communication:
- Maintain positive relationships with vendors and address any payment discrepancies or issues.
- Communicate effectively with vendors regarding invoice inquiries and payment schedules.
Budget Oversight:
- Assist Admin Analyst in monitoring expenses and budget allocations.
- Provide support in budget planning and forecasting as required.
- Alert management of any potential budgetary concerns or discrepancies.
Administrative Support:
- Perform general administrative tasks such as filing, data entry, and document management.
- Maintain accurate records of assets and office inventory.
- Coordinate office maintenance activities and ensure a safe and functional work environment.
- Monitor office supplies and coordinate restocking as needed.
Qualifications:
- High school diploma or equivalent; additional certifications in office administration or related field preferred.
- Proven experience in administrative roles, preferably in a corporate or office setting.
- Proficiency in English is essential for effective communication within the team and with external stakeholders.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both verbal and written.
- Detailoriented with a high level of accuracy in data entry and recordkeeping.
- Ability to work independently and collaboratively within a team environment.
- Experience in invoice management and vendor negotiation is a plus.

Part-time
Pay:
$ $16.50 per hour
Expected hours: 24 per week
Schedule:
- 8 hour shift
