Position Overview:


Key Responsibilities:


Invoice Management:


  • Collect bills from vendors and ensure timely payments.
  • Review invoices for accuracy and verify against received goods or services.
  • Coordinate with Admin Analyst to ensure all expenses align with budgetary constraints.
  • Negotiate with vendors to optimize terms and pricing as necessary.

Vendor Communication:


  • Maintain positive relationships with vendors and address any payment discrepancies or issues.
  • Communicate effectively with vendors regarding invoice inquiries and payment schedules.

Budget Oversight:


  • Assist Admin Analyst in monitoring expenses and budget allocations.
  • Provide support in budget planning and forecasting as required.
  • Alert management of any potential budgetary concerns or discrepancies.

Administrative Support:


  • Perform general administrative tasks such as filing, data entry, and document management.
  • Maintain accurate records of assets and office inventory.
  • Coordinate office maintenance activities and ensure a safe and functional work environment.
  • Monitor office supplies and coordinate restocking as needed.

Qualifications:


  • High school diploma or equivalent; additional certifications in office administration or related field preferred.
  • Proven experience in administrative roles, preferably in a corporate or office setting.
  • Proficiency in English is essential for effective communication within the team and with external stakeholders.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent communication skills, both verbal and written.
  • Detailoriented with a high level of accuracy in data entry and recordkeeping.
  • Ability to work independently and collaboratively within a team environment.
  • Experience in invoice management and vendor negotiation is a plus.

Job Type:
Part-time


Pay:
$ $16.50 per hour

Expected hours: 24 per week


Schedule:

  • 8 hour shift
