**Job Description

  • Administrative/Assistant Bookkeeper**The Construction Administrative position is a supporting role for the accounting department and this individual is primarily responsible for prompt, efficient and accurate processing of all work responsibilities. This immediate position requires an individual that can perform multiple duties and problem solve, provide courteous professional interaction with vendors and clients and work well in a team setting in order to support a midsize General Contractor in the construction industry.

Contract Administration - Primary Duties and Responsibilities

  • Provide administrative and clerical support.
  • Answer incoming calls
  • Maintain vendor and project files.
  • Open, scan and coordinate incoming mail.
  • Obtain certificates of insurance, W9's and other pertinent vendor paperwork.
  • Update Labor Law Posters and distribute to job sites yearly
  • Prepare lien waivers necessary for payments to subcontractors/suppliers accurately and timely
  • Ensure accuracy of all date entered in the system, including, but not limited to contracts, change orders, payments, COI's, W9's
  • Set up contract job workbook, contract worksheets, lien waiver letters for new projects
  • Responsible for maintaining "good faith effort" documentation when bidding projects with CHRO AA/EOE requirements
  • Manage workflow with the ability to prioritize responsibilities and tasks, to meet deadlines
  • Prepare and file AA/EOE Plans with CHRO on required projects
  • File monthly reports as required for AA/EOE plans
  • Monitor and verify all information is correctly reported on Certified Payroll Reports and MEUR reports from subcontractors
  • Work with business development to create weekly social media postings
  • Additional tasks may vary and general assistance to management as required

A/P Clerk - Primary Duties and Responsibilities

  • Process and verify AIA billings from subcontractors to ensure accuracy
  • Enter weekly journal entry for payroll
  • Validate payable invoices before posting to vendor accounts in QuickBooks.
  • Process and mail weekly expense payments
  • Reconcile monthly account statements from suppliers
  • Vendor administration, adding new vendors or update existing vendor names and information
  • Respond to all vendor inquiries, resolve discrepancies, and reconcile vendor statements
  • Work with other accounting staff to ensure information is accurately costed to the proper jobs and general ledger accounts
  • Charge and allocate expenses to jobs and accounts by analyzing invoices and recording entries

Basic Requirements

  • 2+ years of experience within the construction industry
  • 2+ years of Contract Administration and A/P experience or equivalent accounting experience; understands full chart of accounts
  • Experience using QuickBooks
  • Quick learner and positive attitude with ability to multitask and prioritize workload
  • Excellent skillset with Microsoft Excel & Word
  • Procore experience is a plus
  • Attention to detail
  • Interpersonal skills to interface with vendors, accounting, and project managers

  • Initiative to problem solve and come up with solutions
  • Experience with CHFA and CHRO

Pay:
$55, $70,000.00 per year
