    Description

    A family-owned organization, rich in history, is hiring an Executive Assistant to support the CEO and other key stakeholders. This role plays a crucial part in maintaining efficiency within the organization. You are responsible for managing complex schedules and ensuring that daily operations run smoothly. With strong multitasking abilities and strategic planning skills, you will navigate the demands of board meetings and deadlines with ease. Your toolkit includes resourcefulness, discretion, and coordination to support the CEO's vision effectively.

    Responsibilities

    • Comprehensive Administrative Support: Manage Chairman & CEO's schedule, including complex calendaring, coordinating meetings, and managing domestic and international travel.
    • Personal Assistance: Oversee personal banking activities, assist with family travel arrangements, and manage household logistics as needed.
    • Event Planning: Organize and coordinate events for both personal and professional activities.
    • Communication Management: Handle correspondence, emails, and phone calls efficiently, ensuring timely responses and follow-ups.
    • Documentation and Organization: Assist in maintaining organized physical and digital files, as well as, printing and organizing documents to ensure an efficient process.
    • Team Collaboration: Work closely with existing administrative staff to ensure seamless coordination and support.
    • Project Management: Take charge of special projects assigned, coordinating with various stakeholders to ensure timely completion and high-quality results.
    • Vendor Management: Handle relationships with external vendors and service providers, including negotiating contracts and ensuring services meet company standards and expectations.

    Ideal Experience

    • Ideal candidates will have prior experience in both Executive Assistant (EA) and Personal Assistant (PA) roles, supporting C-level executives in fast-paced environments.
    • Bachelor's degree is preferred.
    • Must possess excellent interpersonal skills and the ability to work effectively with diverse personalities, including colleagues with varying work styles.
    • Ability to adapt to changing priorities and thrive in a dynamic environment, where schedules and priorities may shift frequently.
    • Strong organizational skills with meticulous attention to detail, capable of managing multiple tasks simultaneously.
    • Demonstrated commitment to previous roles and a willingness to commit long-term to the organization.
    • Advanced MS Office; Word, Excel, PowerPoint and Outlook.
