- Provides office support for two or more AUSAs to include the following tasks:
- Schedules appointments, meetings, engagements, and conferences.
- Tracks dates/deadlines on AUSAs schedule for appointments, interviews, depositions, meetings, conferences, filings, hearings, scheduling conferences, trial dates, and provides reminders to AUSA of court appearances and other commitments.
- Receives visitors and telephone calls. In consultation with the assigned attorney, furnishes requested information on cases and general office procedures. Makes telephone calls as needed to get information or answers to questions from agencies, companies.
- Schedules necessary events for AUSA, to include depositions, interviews, meetings.
- Schedules with court reporters, processing relevant payment paperwork.
- Reserves conference rooms for depositions, interviews, and meetings; government vehicle when needed; space at the courthouse, including parking and conference room.
- Completes Court runs as scheduled.
- Maintains legal and general office files.
- Uploads and saves documents to appropriate electronic files, including uploads documents to USAfx for sharing of files.
- Logs case-related documents when received.
- Maintains paper and electronic case records, to include correspondence, pleadings, witness interview summaries, PDF files, image files, audio files, video files, bank records, medical records, forensic reports and other records in a manner that facilitates effective retrieval.
- Completes data entry electronic filings through the Court database systems.
- Disassembles/assembles documents as required for copying, ensuring that original documents are reassembled to their original state.
- Aids in assembling and organizing records for production as discovery and for potential use in trial.
- Opens and closes files; fills in templated documents to complete these tasks.
- Tracks recipients' compliance with subpoenas and follows up to ensure compliance.
- Uses office software, provides limited automated litigation assistance to attorneys.
- Scans and saves documents following specified file naming, location, and organization conventions.
- Utilizes various software applications and graphics hardware such as scanners.
- Performs other document collection related activities, including document screening, labeling of files to be scanned.
- Performs simple database searches.
- Reviews, screens, and appropriately routes incoming mail.
- Scans, reviews, screens, and distributes mail.
- Prepares mailings via certified and FedEx.
- Organizes trial exhibits.
- Copies and organizes documents for hearings and motions, in accordance with AUSA directions.
- Assists attorneys in trial preparation by performing duties such as independently assembling trial notebooks, assembling jury instructions, and compiling witness and exhibit lists, upon receipt of such materials and instructions from AUSAs.
- Assists AUSA by delivering/retrieving materials to/from Litigation Technology Unit as directed by AUSA.
- Codes and indexes discovery documents using legal case management software.
- Conducts document searches, organizes documents, conducts first level document review, and coordinates document production.
- Assists with incoming and outgoing discovery processing, including bates-numbering and logging in incoming discovery.
- Assists with document preparation for expert analysis and production.
- Assembles necessary material for court filings.
- Assists preparing trial exhibits to be presented in court.
- Assists in preparing witness binders and for use during investigations and trial.
- Reviews case materials to become familiar with issues relevant to the case.
- Reviews incoming material using a pre-formatted decision matrix for the needed documents., , complaints, motions, orders, answers, pleadings, and subpoenas.
- Reviews outgoing correspondence for procedural and grammatical accuracy, format, and presentation. Brings errors to the attention of the writer.
- Proofreads pleadings, memoranda and correspondence for spelling and grammar before filings are entered or correspondence is sent out.
- Fills in templated litigation report request letters.
- Proofreads legal briefs, memoranda, and other legal documents.
- Makes travel arrangements, secures accommodations, and maintains contact while the Government traveler is in travel status.
- Completes witness travel requirements.
- Arranges travel by preparing itinerary and securing transportation and hotel reservations.
- Fills in templated travel authorizations and vouchers. Assists with requests for legal support action of witnesses.
- Prepares templated litigation support services request forms, including services for procuring transcripts, medical records, and fact and expert witnesses.
- Coordinates with the victim/witness specialist for current Departmental guidelines relating to victims' rights and services responsibilities. Notifies appropriate individuals of victim/witness issues.
- Retrieves required information from case files and fills in pre-formatted, templated legal documents. Ensures proper spelling, punctuation, capitalization, and grammar. Consults with document author to resolve questionable material
- Fills in templated pleadings, stipulations, motions, briefs, affidavits, subpoenas for service on third parties, releases, discovery statements with relevant information under supervision of POCs.
- Redacts documents as directed by AUSA.
- Modifies previously established pleadings, motions, and letters with guidance from POC.
- Conducts non-complex research of legislation, statutes, regulations, and court cases.
- Performs document reviews
- Maintains discovery material and other case related records in case specific spreadsheet that is accessible and enables easy retrieval.
- Following established procedures, provides a variety of direct legal support services performed with limited AUSA and Point of Contact oversight
- Schedules necessary events for AUSA, to include depositions, witness interviews, meetings, and conferences.
- Answers inquiries not requiring legal interpretations and refers other questions to appropriate office members.
- Ensures that client agencies are kept informed of the status of assigned cases.
- Assists in trial preparation by inputting data into trial assistance databases, assembling trial notebooks, assembling exhibits, and preparing witness and exhibit lists.
- Performs tasks requiring interaction, oral and written, with courts, clients, co-workers, and others.
- Prepares work product using a variety of computer software programs and applications, including word processing, databases, and spreadsheets.
- Establishes and maintains files and case-tracking database.
- Receives newly opened case files.
- Notifies proper client agency of service and to request litigation report and/or other necessary case related information.
- Establishes and updates database to track receipt of cases, upcoming deadlines, and other case information. Keeps attorneys and appropriate staff members informed of status of cases.
- Monitors progress of pending cases and initiates action to ensure that established deadlines are met.
- Electronically maintains case files and case related material in compliance with established filing systems and in accordance with office procedures.
- Must be able to obtain and maintain MRPT facility credentials/authorization. Note: US Citizenship is required for MRPT facility credentials/authorization at this work location.
- Requires paralegal certificate, or currently attending an ABA-accredited law school, having completed at least one year of study. One year of legal training or legal experience or at least two years of college education may be substituted for the paralegal certificate.
- Additionally, at least one year of litigation paralegal experience or project experience (as related to the task order) is required; trial experience very helpful
- Automated litigation support experience valued. Must have basic legal knowledge, including knowledge of standard legal citation to cite check legal motions and memorandum and must have sufficient experience with legal research tools such as LEXIS and Westlaw to perform basic legal research.
- Requires excellent written and oral communication skills, thorough knowledge and hands-on familiarity with a variety of computer applications, including word processing, databases (such as document review and file management systems), spreadsheets, imaging, and hardware systems.
- Role also requires basic familiarity with ESI tools and knowledge of eDiscovery procedures and resources.
- Ability to consistently deliver highest quality work under extreme pressure will be very important.
