Hybrid - Sacramento, CA Office.
Summary:
CAPCA is commemorating a significant achievement in 2024 - the 50th Anniversary of our Annual Conference and Agri-Expo in Anaheim. We are in search of a full-time Event Coordinator to help us continue organizing remarkable events for years to come. As an essential team member, you will be involved in planning, executing, and assessing successful events that uphold our mission and engage our Membership. You'll collaborate closely with different departments and stakeholders to ensure flawless event experiences that are in line with our organizational objectives and financial plan.
Key Responsibilities:
- Event Planning & Management
- Develop and manage event plans collaboratively for various events.
- Secure venues, negotiate contracts, and handle logistics for successful events.
- Manage event budgets, track expenses, and ensure financial compliance.
- Provide insight on program elements like exhibit hall design and marketing strategies.
- Collaborate with Sales & Marketing Coordinator for sponsorships and exhibitors.
- Responsible for volunteer recruitment and coordination.
- Event Execution
- Oversee event setup, execution, and breakdown.
- Manage vendors and service providers.
- Act as a primary contact for sponsors, exhibitors, and attendees.
- Handle event registration and ticketing systems.
- Evaluation & Reporting
- Collect and analyze attendee data for compliance.
- Analyze event data for success metrics and improvement areas.
- Prepare post-event reports with recommendations.
- Stay updated on current event trends and best practices.
- Additional Responsibilities
- Assist with marketing, communications, and fundraising tasks.
- Stay informed on CE requirements for licenses.
- Maintain a professional representation of the organization.

This role provides an opportunity to contribute significantly to CAPCA's future by creating engaging events for our Membership. Some travel within California, up to 20%, is expected. This position will be based in the CAPCA office in Sacramento, California.
