Position Description
This position supports our Classrooms and Community Based Staff which includes Special Education Teachers and Therapists.


Essential Job Functions


Essential job functions represent the fundamental job duties and responsibilities of the employment position the individual holding the position must be capable of performing.

Duties and Responsibilities

  • Maintain organized and accurate paper and electronic child files
  • Process scripts to doctor's offices
  • Complete mailings for new students
  • Prepare, mail, and file evaluation letters and packets
  • Prepare, mail, and file evaluation reports
  • Prepare, mail, and file Annual Reviews
  • Prepare, mail, and file quarterly reports
  • Maintain progress notes and claim reports
  • Communicate with and coordinate child transportation
  • Communicate with teachers, parents, doctors and staff throughout the school day
  • Maintain strict confidentiality of child information
  • Complete required mailings and faxes in a timely manner

Skills and Abilities Required

  • Multitask in a fastpaced environment

  • Possess strong written and verbal communication skills
  • Have extensive knowledge in Microsoft Word, Excel and Outlook
  • Learn new database systems
  • Have working knowledge of Special Education and IEP's
  • Maintain a high level of confidentiality and professionalism
  • Position requires Site Secretary to be in person at the assigned office for the area the position supports
  • Some travel may be necessary for meetings, professional development, other site coverage

Minimum Education/Experience Required
High School Diploma/GED

Must have at least (3) three years of strong secretarial experience

Experience with School Districts and/or County Offices is preferred

Ability to read and comprehend instructions, correspondence, memos, and workplace policies. Ability to analyze, interpret general business periodicals, professional journals, procedures and governmental regulations. Ability to write professional correspondence. Ability to write procedures and organizational policies. Ability to speak effectively with other employees and/or consumers. Ability to present formal information in one-on-one and small group situations. Ability to present information and respond to questions. Ability to respond to common inquiries or complaints.


Reasoning Abilities
Ability to carry out detailed written and/or verbal instructions.

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form to carry out business objectives.

Ability to define problems, collect data, establish facts and draw valid conclusions.
