Position Overview:
The BSW-Academic Program Coordinator will support the ongoing coordination of integrated activities across the School of Social Work's undergraduate program, priorities, and initiatives.
- Duties include a variety of administrative, logístical, operational, and technical tasks in support of the program's mission.
Essential duties and responsibilities of the BSW-Academic Program Coordinator include but are not limited to:
Managing program core functions
- Respond to student, faculty, and staff requests and issues as appropriate for their role
- Manage BSW student course registration
- Prepares travel authorizations, purchase requests, supplies, and reimbursement per university and SSW policies
- Assist BSW program leadership in designing, coordinating, and managing student engagement events
- Coordinates course evaluations (including semester and midterm), collecting the data and providing reports to leadership
- Program assessment support, includes collecting and entering data such as key course assignments, end of year surveys, and field evaluations
- Collect assessment information to include BSW Portfolio Support
- Supports BSW Program Committee and task groups (if applicable) by taking minutes
- Assist BSW program leadership in formatting and disseminating the BSW Program Committee meeting agendas and minutes
- Coordinate with BSW program leadership and academic advisors to submit ARAC petitions in a timely manner
- Assist faculty (full time and adjunct) with semester course preparation which includes coordination with HR for onboarding, confirming classroom assignments, providing required textbooks, and scheduling common meeting spaces
- Serve as the program point of contact for textbook publishers and the VCU Bookstore, making appropriate updates each semester
- Record keeping:
- BSW program records
- BSW Program committee minutes
- Student files
- Change of Grade
- Incompletes
- Independent Studies & Directed Research proposals
- CSWE compliant assessment materials
- Collect and review primary syllabi and faculty syllabi maintaining an uptodate archive for all course modalities
- Attend budget meetings with program director and assist with monitoring program expenditures
- Monitor and process website updates and changes with program director
Course Management
- Maintaining course curriculum maps and update course competencies
- Work with the Lead Academic Program Coordinator to manage Banner scheduling, ensuring that all sections are copied (as appropriate) and that Google schedule matches the Banner schedule
- Collect and review primary syllabi and faculty syllabi maintaining an uptodate archive for all course modalities
- Coordinates course evaluations (including semester and midterm), collecting the data and providing reports to leadership
- Ensure that all program faculty have the resources needed for their classes [both online and on campus] such as textbooks, videos, common meeting spaces, etc.
- Program assessment support, includes collecting and entering data such as key course assignments, end of year surveys, and field evaluations
Other duties as assigned
- Coordinate PERFs
- Crosstrain and serve as a backup to other program coordinators
- Provide rotating coverage for the front desk of the Dean's Suite
- Assist program leadership as needed in the support of students
- Provide support to the program with the scholarship administrative processes
Minimum Qualifications:
- Experience working in and fostering a diverse faculty, staff, and student environment and a commitment to doing so at VCU;
- Ability to work independently and in collaborative teams, while meeting deadlines;
- Strong oral, interpersonal, and written communication skills;
- Ability to provide excellent and responsive customer service to a diverse population;
- Ability to handle sensitive and confidential matters;
- Ability to manage and prioritize multiple projects simultaneously;
- Ability to work successfully in both an inperson and remote environment.
