About being our Project Administrator


As our
Project Administrator, you will utilize your expertise to assist a fast-paced professional survey team with contract administration, project support and general administrative duties.


Responsibility Highlights for our Project Administrator

  • Assist with the development of proposals, contract documents and/or change orders; maintain proposal tracking logs
  • Assist with the review and execution of contract documents
  • Assist project team in completing project startup documentation after reviewing contract for billing information and other client requirements
  • Acquire insurance certificates and other documentation required by clients
  • Prepare subcontracts as required, coordinate with subconsultants regarding contracting and invoicing
  • Review, track, and code subconsultant invoices ensuring they meet contract requirements and are within budget
  • Prepare mileage reports and preliminary documents, as needed
  • Assist project managers with tracking of project budgets and project costs
  • Assist with billing review, coordinate with accounting regarding any special invoicing requirements
  • Assist project team with accounts receivable, including follow up with both internal managers and clients
  • Participate in meetings including weekly production meetings and team financial meetings
  • General administrative duties as needed including travel arrangements, licensing/certification renewals, expense tracking, document proofreading, obtaining encroachment permits, etc.
  • Develop and maintain good working relationships with clients, subconsultants and internal staff

Minimum Qualifications to be our Project Administrator

  • 3+ years administrative experience in a professional environment
  • Proficient in Microsoft Office Suite
  • Intermediate to advanced proficiency in Microsoft Excel
  • Ability to read, analyze and interpret data, reports, and information of a specialized and technical nature
  • Highly organized, detail oriented and able to follow through and complete assigned tasks

Preferred Qualifications for our Project Administrator

  • Associate or bachelor's degree
  • Prior experience within the Architecture, Engineering, Construction (AEC) industry
