    Administrative Coordinator

The mission of LEAD Brevard is "working together to strengthen our community by inspiring people to lead."

    LEAD Brevard, a nonprofit 501(c)3, community-based organization dedicated to the engagement and development of leaders, seeks an Administrative Coordinator to join the team as support for the daily operation of the organization's programs, events, membership and general office administrative responsibilities.

    SUMMARY OF POSITION

    The Administrative Coordinator is responsible for effective administration & support for programs, events and the membership database and operation of office functions, with responsibilities to efficiently manage office operations. A commitment to accuracy, timeliness and critical thinking is essential to collaborate effectively with team members and stakeholders. Job Type: Full Time, Non-Exempt

    Data Management & Reporting – 25%

    · Database Management: Primary manager of donor customer relationship management (CRM) database ensuring data quality and conducting regular, ongoing maintenance of alumni and donor data across multiple platforms.

    · Donations/Gift Processing and Reporting: Process charitable contributions and event registrations in CRM database; Prepare acknowledgement and receipting of all donations and memberships. Produce informational reports related to trends, financial transactions, and revenue reconciliation.

    · Organizational Reports: Develop reports and dashboards to enhance organizational effectiveness and compliance with reporting requirements.

    Programs and Events - 50%

    · Assist in coordination of events & programs, coordinate relationship and learning opportunities. Work with the Communications Manager to promote alumni achievements and civic engagement opportunities. Support on-site event logistics to foster an exceptional participant experience.

    · Manage event registrations, guest lists, pre-event communication, post-event communication and check-in during events. Major annual events include LEAD on The Move; LEAD Before Hours, Welcome Reception for new leadership class; Community + Conversation, Board Governance Workshop and the Leadership Awards/4 Under 40.

    · Locate and secure venues/catering for programs; maintain master calendar of confirmed events/venues

    · Attend meetings & events as required; includes occasional evening and/or early mornings

    · Assist with scheduling social media

    · Distribute digital evaluations as needed; compile results (JotForm)

    Organizational Support – 25 %

    · Perform other duties and special projects as assigned; general office administrative responsibilities

    · Handle office operations, including maintaining office supply inventories/ordering, answer/screen incoming calls

    · Telephone coordination and confirmation of meeting dates and/or confirmation of volunteer attendance at meetings/events and/or to encourage registration/response to organizational invitations

    · Create and send digital reminder notices for assigned committees; monitor responses

    Minimum Qualifications (Required):

    · years relevant experience, nonprofit sector preferred

    · Excellent organizational and problem-solving skills

    · Proven experience in CRM database software (Neon preferred)

    · Proven ability to coordinate event logistics

    · Excellent customer service skills

    · Ability to communicate effectively, both orally and in digital communications

    · Ability to maintain discretion and confidentiality

    · Proficient in Microsoft Office Suite

    · Ability to lift 25 pounds and transport event supplies and materials

    · Current valid Florida driver's license and a vehicle with appropriate insurance coverage required to drive in the course of performing assigned duties and responsibilities.

    Preferred Qualifications (Not Required): A Plus if you have -

    · Digital graphic design tools (Canva preferred)

    · Digital communications platforms (Constant Contact preferred)

    · Knowledge of Google Workspace (Gmail, Docs, Sheets, Slides, Forms, etc.)

    SCHEDULE

    LEAD Brevard provides work schedule flexibility. Approximately 20% remote working may be available, depending on event/program schedules. Job requires occasional evening (up to 8:00 PM) and/or early morning events (7:00 AM)

    BENEFITS AND COMPENSATION

    Hourly rate ranges from $16.75 to $19.25; commensurate with experience. Benefit package includes access to medical, dental, 401k, paid time off, work schedule flexibility, as well as learning and professional development opportunities.
