COMPANY OVERVIEW

JOB TITLE - Administrative Assistant

POSITION OVERVIEW

RESPONSIBILITIES:


1. Account Receivable (AR) / Account Payable (AP) - Data Entry and Record Keeping

  • AR
  • Manage customer billing by ensuring that the payment status of client accounts is uptodate within QuickBooks (QB)


  • AP

  • Prepare the documentation for bookkeeping entry process.

2. Warehouse Administrative Support

  • Coordinate Return Merchandise Authorization (RMA) shipment release.
  • Assist in maintaining inventory by checking stock to determine inventory level, anticipating needed supplies, and verifying receipt of supplies.
  • Execute the material receiving process.
  • Perform finish goods outgoing process.

3. Documentation and Filing

  • Assist in the preparation of documents, reports, and presentations.
  • File and retrieve corporate documents, records, and reports.
  • Ensure all documents are properly filed, both physically and electronically.

4. Front Desk Management and Reception

  • Provide support to customers and clients, including answering inquiries and directing the issues to the right department.
  • Draft and distribute correspondence, memos, and forms.

REQUIREMENTS:


Experience and Education

  • High School or Associate degree or equivalent.
  • Minimum of 1 year in an office administrative role.

Administrative Skills

  • Strong administrative and organizational skills with attention to detail.
  • Proficient in data entry and recordkeeping.

Communication and Coordination

  • Excellent communication skills, both verbal and written.
  • Ability to coordinate effectively with internal teams, logistics partners, and customers.

Microsoft Excel Proficiency

  • Highly proficient in Microsoft Excel, including the ability to create and manage spreadsheets for data analysis and reporting.

Adaptability

  • Ability to adapt to changing priorities and work effectively in a dynamic environment.

Cross-Cultural Experience

  • Crosscultural working experience is a plus, demonstrating adaptability and cultural awareness.

Team Collaboration

  • Collaborative mindset with the ability to work seamlessly with crossfunctional teams.

Pay:
$40, $45,000.00 per year

Ability to Relocate:
