The American Academy of Dermatology is seeking a Coordinator, Exhibitions & Meetings Services located in our Rosemont, IL office responsible for providing project coordination and support of the logístical components of the technical exhibition and exhibit sales & promotional programs for the Annual and Innovation Academy Meetings.

Provide support with all exhibitor communications (correspondence, marketing, and website), exhibitor registration, first aid, floral, coat/bag check, and other areas as needed.

Support Regional Courses/Meetings exhibit programs and logistics, as required.

Responsibilities:


  • Provide project coordination of exhibitor services including billing and financial procedures, correspondence related to booth logistics, annual review and updates to all related exhibitor policies and procedures (including Prospectus), update and maintain technical exhibitor databases, related files, and websites.
  • Provide support of exhibitor registration & housing functions including annual review and update of exhibitor policies and webbased forms/sites.
  • Provide logístical support to the Manager, Exhibitions & Meeting Services, with projects related to exhibit sales and the supplemental exhibitor promotional programs, including, but not limited to, Industry Theater Sessions, exhibitor suites and communications through Marketing.
  • Coordination of Annual and Innovation Academy Meetings shipping logistics and distribution, first aid, floral, and coat/bag check.
  • Assist with Annual and Innovation Academy Meetings signage.
  • Interface with meeting vendors and hospitality community representatives as required.
  • Assist in the coordination of annual exhibitor site visits to Annual Meeting future location(s).
  • Coordinate exhibitrelated projects in conjunction with department team members.

Requirements:


  • Associate degree or equivalent experience with a minimum of four years of exhibits experience for a large medical association required.
  • Experience C with Expocad, or floorplan management system, and Zendesk/customer service ticketing system, is preferred.
  • Effective verbal/written interpersonal communication skills and organizational skills essential.
  • Ability to exercise good judgment and basic reasoning skills to solve problems and build on prior experiences to resolve issues. Ability to work effectively with varied people to facilitate the completion of the work.
  • Ability to work independently. Ability to execute projects under mínimal supervision.
  • Some travel to meetings required.
