ASTRO's Manager of Process Documentation and Internal Training reports to the IT Director and is responsible for two primary areas.


Additionally, the individual will identify and monitor the internal training needs of ASTRO's staff, and design, plan, and implement training programs, and processes to fulfill those needs.

This position will be responsible for developing, writing, and modifying instructions for processes, systems and platforms that ASTRO staff utilize to support the organization and then use those documents to generate the appropriate materials for the ongoing training of staff, as well as facilitating the onboarding of newly hired staff.

All areas of responsibility require strong interpersonal skills and a willingness to proactively engage with staff of all levels.


NOTE:
ASTRO offers a hybrid work environment. The position is based in Arlington, VA at ASTRO's headquarters and eligible for immediate telework up to 3x/week.


Primary job responsibilities will include the following:
Process Documentation (60%)

  • Works with internal individuals or teams to obtain an indepth understanding of the processes or products and the system documentation requirements.
  • Works with SMEs to understand existing process flows and be able to convert them into formal procedural documents.
  • Writes easytounderstand online help and user guides and suggests innovative approaches for documentation.
  • Produces highquality documentation that meets applicable standards and is appropriate for its intended audience.
  • Creates and maintains training knowledge base to keep process and training documentation up to date.
  • Works across various teams to generate effective materials for the required audiences.
  • Ad Hoc jobrelated duties as required.
Training (40%)

  • Evaluates, or assists in evaluating, the training needs of staff as a whole or by business unit/function.
  • Reviews existing training programs; suggests enhancements and modifications to improve engagement, learning, and retention and/or to meet the changing needs of ASTRO's staff.
  • Develops training curricula and/or recommends or utilizes vendor programs that meet instructional goals and objectives.
  • Selects or develops training aids, including, but not limited to, training handbooks, demonstration models, visual aids, computer tutorials, and reference works.
  • Formulates training outlines and determines most effective instructional method such as individual training, group instruction, prerecorded sessions, workshops, etc. for training opportunities.
  • Coordinates or performs administrative functions necessary to deliver and document training programs.
  • Delivers group and individual instruction and training covering a range of technical, operational, or procedural processes as relates to ASTRO's needs.
  • Evaluates effectiveness of training and development programs and utilizes relevant evaluation data to revise or recommend changes in instructional objectives and methods.
  • Functions as primary onboarding resource for newly hired staff, providing dayone introductions to organizational platforms as well as followup trainings that are more business function specific.
B.S in Information Systems/Education/HR/Communications or related fields or equivalent training. A minimum of 5 years of related experience.

  • Great attention to detail with excellent oral and written communications skills
  • Ability to quickly grasp complex technical concepts and make them easily understandable in text and pictures
  • Strong working knowledge of Microsoft Office (Teams, Word, Excel, etc.)
  • Strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse workplace
  • Demonstrated teaching, training and facilitation skills
  • Ability to adapt training to a wide range of skill levels and determine training objectives
  • Ability to design, develop, implement, and evaluate training plans, curricula, and methodology
  • Demonstrated skill in preparing instructional aids and plans
  • Experience with Association Management Sofware/Systems (Aptify, Protech, etc.) and/or Content Management Software/Systems (Kentico, Umbraco, etc.) preferred

Working Conditions
Open cubicle general office environment in Arlington, VA (Crystal City) with telecommuting opportunities. Optional travel approximately 5% of the time for ASTRO Annual Meeting (once per year)
