General Description of the Position:


Under the supervision of the Director of Labor Relations and Diversity, the Administrative Assistant provides administrative assistance for employment processes relating to labor relations and routine administrative support to the various units within the Office of Human Resources.

Personnel serving in this position must maintain confidentiality of Human Resources information with absolute discretion. The ability to communicate effectively with a diverse population of faculty, staff, students and the public is essential.


Essential Functions & Required Knowledge, Skills and Abilities:

Essential Job Functions

  • Provide administrative support in all phases of the collective bargaining agreement disciplinary and grievance procedures;
  • Monitor deadlines and create tracking system to ensure grievances and complaints are responded to timely;
  • Draft correspondence related to labor relations matters;
  • Maintain complaint and grievance data base for case tracking purposes;
  • Perform research and gather sample policies and procedures;
  • Assist with union negotiations and the drafting of proposals;
  • Assist with planning workshops, campus events, and Human Resources initiatives;
  • Assist supervisor in arranging appointments, meetings, conferences as necessary;
  • Coordinate travel arrangements and create trip itineraries;
  • Communicate and interact effectively and professionally with diverse populations, individually or as a team member, both in verbal and written communications;
  • Prepare and edit rough and final drafts of correspondence, forms and reports;
  • Collect data, perform statistical and research work assigned;
  • Meet with and answer inquiries of employees and visitors as requested;
  • Answers telephone inquiries concerning functions and procedures of the Human Resources office;
  • Reviews correspondence and reports, determines level of authority that can handle issues, and directs to appropriate staff for completion;
  • Establishes tracking and monitoring systems and conducts follow up to ensure effective resolution of matters;
  • Maintains and controls data and/or filing systems to ensure effective, accurate, and easily retrievable documentation of operations and project activities;
  • Use various software, including word processing, spreadsheets and presentation software to prepare reports and/or special projects;
  • Travel to attend events and training workshops as needed;
  • Some nights or weekends may be required for University activities and events;
  • Perform administrative support for employment processes to include, but not limited to new hire onboarding; and
  • Performs other related duties as assigned.

Required Knowledge, Skills, and Abilities

  • Must exhibit excellent customer service skills;
  • Knowledge of Human Resources office practices and procedures;
  • Must possess good organizational and communication skills, both verbal and written
  • Knowledge of grammar, punctuation, spelling, and compositions;
  • Intermediate to advanced knowledge of Microsoft Office Suite;
  • Ability to verify accuracy of information, resolve discrepancies, and followup on outstanding activities;
  • Must be attentive to detail;
  • Problemsolving and decisionmaking skills;
  • Must possess strong interpersonal/human relations skills with the ability to multitask and work under pressure, through frequent interruptions; and
  • Knowledge of standard office protocols, technology and equipment.

Qualification Standards:


  • Education: Bachelor degree or equivalent experience; and
  • At least three years related work experience; preferably in a Human Resources environment.
