Summary


The Unaccompanied Minors Program primarily serves immigrant children who are or have been detained temporarily by the federal Office of Refugee Resettlement.

The Director of Operations will manage, coordinate, and report on contract compliance, operational, administrative, and financial aspects of the Program.

The Director of Operations will play a key role in ensuring quality and delivery of the program's services, in staff development, and in program management and development.


Essential Duties and Responsibilities include the following. Other duties may be assigned.

General Program Management & Operations:

  • Work with the program director to manage and oversee provision and tracking of quality and timely services through a variety of activities, including legal services, case management services, orientations for adult sponsors of unaccompanied children, and other program services and activities.
  • Develop and oversee qualityassurance protocols to ensure compliance with program procedures for legal, case management and services.
  • Ensure compliance with agency, contractual and funder requirements.
  • Prepare timely and accurate narrative, financial, data and other program and internal reports.
  • Oversee and evaluate programs and procedures, including legal and case management services, data tracking, filing, expenditures, reporting, and other operations.
  • Evaluate and liaise with staff to identify program needs and develop responses as needed, and to implement, develop and refine program strategies.
  • Monitor physical and electronic recordkeeping systems, developing new procedures as needed.
  • Liaise with vendors, contractors, grantors, and programs throughout the Archdiocese on human resources, financial, billing, technical and other issues.

Staff Support and Supervision:

  • Supervise administrative staff and provide support and supervision to other staff as needed.
  • Work on programmatic staff development, including balanced and diverse workloads and special projects.
  • Oversee production and coordination of staff and program manuals and materials.
  • Work with legal staff to design, implement and manage intern and pro bono programs, and to recruit and support volunteers, pro bono attorneys and interns.
  • Coordinate on planning and providing staff and volunteer training programs.
  • Work with the director, senior migration counselors and attorneys to conduct staff evaluations.
  • Manage daily operations of staff. Ensure compliance with procedures, and with tracking and reporting protocols. Monitor coverage for all program operations.

Outreach and External Relations:

  • Represent program and agency with stakeholders and in the community, as needed.
  • Communicate with funders and other stakeholders on program and contractual matters.
  • Coordinate and engage in outreach presentations as needed and ensure accuracy of outreach materials.

Financial Management:

  • Oversee program expenses to ensure accurate contract invoicing and internal reconciliation.
  • Provide oversight of and monitor monthly expenditures, including invoices, AFPs, and other billing information as needed.
  • Assist on grant/contract development as needed.

The salary for this position is $75,000 - $90,000

Qualifications

  • College graduate and at least four years of related, professionallevel experience; or equivalent combination of education and experience.
  • Excellent computer proficiency, and ability to utilize statistical and multiple database systems. Previous experience managing databases required.
  • Previous experience in program and staff management in related environments.
  • Excellent written and oral communication skills.
  • Strong interpersonal, organizational, and managerial skills.
  • Highly motivated and selfstarter.
  • Ability to prioritize and handle multiple complex tasks.
  • Ability to convene and lead meetings.
  • Ability to work both independently and in a highly collaborative team environment.
  • Spanish fluency, a plus.
