    Summary: The Office Assistant will assist in the day-to-day requirements of the Idaho Pacific Colorado Corporation ("IPCC") plant office and will provide back up to the Operations Assistant. The position will work Monday through Friday 8:00am - 5:00pm.


    Position Duties and Responsibilities:

    Assist in the following duties and responsibilities:

    • Greets and directs visitors, vendors and customers.
    • Answers incoming phone calls and directs phone calls to the appropriate person.
    • Prepares Purchase orders as requested.
    • Weighs in and out raw potato trucks and maintains log book and scale tickets.
    • Checks in trucks for outgoing shipments, scales out (axels out) trucks for outgoing shipments.
    • Scans Bills of Lading and supporting paperwork into proper drive on the computer.
    • Prepares UPS labels and other paperwork and tasks required for outgoing mail and packages.
    • Picks up mail on a daily basis and distributes as directed by IPCC Plant Manager.
    • Maintains files and records as needed.
    • Order and track inventory levels of production and office supplies (gloves, hairnets, etc).
    • All other duties as assigned.

    Knowledge and Skills:

    • Excellent personal and telephone skills, pleasant demeanor, knowledgeable with business communication.
    • Strong communication skills, both written and verbal. Willing and able to communicate, interact and work directly or indirectly with all levels of staff.
    • Bilingual in Spanish preferred.
    • Excellent knowledge of the English language, including the spelling, meaning and usage of words.
    • Intermediate to advanced computer skills utilizing a Windows-based system. Accurate typing / data entry, and workable knowledge of MS Office (Word, Outlook, Excel); familiarity with Navision or other tracking software helpful.
    • Knowledge of the operation of generally used office equipment such as a photocopier or facsimile machine.
    • Strong organization, problem-solving, attention to detail, and accuracy skills.
    • Ability to work under deadlines and time constraints as needed; effective working under high levels of stress and pressure situations.

    Education:

    Education must be of such a level as to allow for the accurate reading, writing, calculation and communication of the required materials and instructions to complete the job responsibilities. High school diploma or equivalent required.

    Physical Requirements and Working Conditions:

    Normal indoor office environment. This position requires sitting at a desk for extended periods of time. General use of office equipment including telephone, keyboard/mouse - extended reaching and use of hands and fingers. May be exposed to environmental factors normally attributed to a warehouse or manufacturing environment.


    Supervisor Duties:

    This position has no supervisory responsibilities.
