Description
The Facility Office Services Coordinator assists in the management in the Facilities functions for _the _agency. Tracks and manages Work Orders and responsive facility _and _fleet vehicle maintenance and operations.

Successfully resolves building violations and maintains calendars _for _proactive management of hearings, inspections, deliveries and related facility operation management support.


Schedule:

Core business hours are Monday to Friday, from 9:00 a.m.

to 5:00 p.m., however, because the program operates 24 hours a _day_, 7 days a week, work hours must be flexible; on call 24/7.


ESSENTIAL FUNCTIONS:

Manage and track Work Order requests. Prepare weekly dashboard and follow up with Supervisors to ensure timely completion.

Assist to log in, track and follow _up _on facilities Help Desk requests including and _not _limited to vendor proposals _and _work.


  • Manage calendar _for _Director of Facilities, Vice President of Program Administration and paid leave requests of all facilities staff.
  • Maintain approved driver listing.
  • Maintain vehicle registration and inspection log.
  • Maintain pantry supply and delivery schedule.
  • Maintain assignment of vehicles and manage vehicles logs. Assist with the collection, preparation and submission of mileage logs and gas card receipts.
  • Prepare mailings as required.
  • Assist to coordinate repairs for all programs.
  • Assist with the coordination of clients and staff transportation and client moves.
  • Maintain an inventory of supplies for office and programs.
  • Review, collect, and track payment request and purchase requisitions. Create purchase requisitions as needed.
  • Maintain files and tracking system for purchase orders.
  • Maintain violations log and calendar_, _track and follow _up _on court/_oath _dates.
  • Attended meetings and prepared agenda and recorded minutes.

Education and Experience Requirement(s):


  • Associates Degree and two years of experience required or satisfactory combination of education and experience.
  • Two years of related facilities or operational experience required.
  • Experience with scattersite housing preferred.

Pay:
$56, $60,000.00 per year
