We are seeking a dedicated Medical Records Clerk/Resident Appointment Scheduler to oversee the Medical Records Department and to schedule all outside medical appointments for Residents as well as other duties as deemed necessary and appropriate, or as may be directed by the Director of Nursing and/or Administrator.

Medical Records Clerk/Resident Appointment Scheduler must have the following:

  • Some experience in a skilled nursing facility preferred.
  • Must possess the ability to make independent decisions in certain circumstances.
  • Must possess the ability to deal tactfully with personnel, residents, family members, visitors, governmental agencies, and the general public.
  • Associates' degree in business management, Administration or related field required.
  • Must have experience as a Medical Records Clerk.
  • Must be able to type a minimum of 30 words per minute and use dictation equipment. A working knowledge of medical terminology, anatomy and physiology, legal aspects of health information, coding, indexing, etc., preferred but not required.
As a skilled Medical Records Clerk/Resident Appointment Scheduler, you will:

  • Assist in organizing, planning, and directing the medical records department in accordance with established policies and procedures.
  • Retrieve resident records (manually/electronically). Deliver as necessary.
  • Files information such as nurses' notes, resident assessments, progress notes, laboratory reports, xray results, correspondence, etc., into resident charts.
  • Ensure incomplete records/charts are returned to appropriate departments or personnel for correction.
  • Maintain a record of authorized information released from charts/records, i.e., type information, name of recipient, date, department, etc.
  • Abstract information from records as authorized/required for insurance companies, Medicare, Medicaid, VA, etc., in accordance with current Privacy Rules.
  • Collect charts, assemble them in proper order, and inspect them for completion.
  • Pick up and deliver resident medical records from wards, nurses' stations, and other designated areas as necessary.
  • Answer telephone inquiries concerning medical records functions. Prepare written correspondence as necessary.
  • Assure that medical records taken from the department are signed out and signed in upon return to the department.
  • Attend and participate in mandatory facility inservice training programs as scheduled (e.g., OSHA, TB, HIPAA, Abuse Prevention, etc.).
  • Schedule outside medical appointments with medical providers as ordered by the physician.
  • Schedule necessary transportation for resident outside appointments.
  • Coordinate with the Nursing Department for needed assistance with medical appointments.
  • Ensure accurate documentation is provided for residents to take to appointments.
  • Communicate appointments to families as necessary.
