Job Title:
Administrative Assistant


General Summary:

Reports directly to the Executive Director.

Performs a variety of administrative and clerical tasks and provides support with the daily office needs and activities of the Authority.

Must maintain a high level of discretion with confidential and sensitive material. Must be compliant with all deadlines.


Responsibilities:


  • Support and assist the Executive Director.
  • Assist the Finance Director with projects as needed.
  • Receive and screen calls at the administrative level.
  • Provide assistance in response to public inquiry.
  • Prepare monthly Executive Director report and board meeting packets. Post information to SHA and Town of
Stratford website. Attend board meetings, currently scheduled at 4:00 p.m., and transcribe minutes.

  • Assist in the preparation of the Stratford Housing Authority Annual Plan / Five Year Plan.
  • Responsible for policy updates and the dissemination to appropriate individuals.
  • Prepare job postings. Prepare offer of employment letters. Compile and provide employment packages for
new employees.

  • Review and maintain the Stratford Housing Authority website to ensure all information is accurate and up to date.
  • Review Wex Global Positioning System reports and compare to work orders and time sheets when necessary.
  • Review surveillance cameras.
  • Keep and maintain a log of all current contracts.
  • Prepare and work with CT newspapers for the placement of legal ads and public notices.
  • Order all office supplies.
  • Register employees for trainings/seminars.
  • Prepare annual holiday schedule and board meeting schedule.
  • Prepare packages for new commissioners.
  • Attend sales presentations when needed.
  • Maintain filing system.
  • Must meet deadlines and complete special projects when assigned.

Job Requirements:

Must possess excellent written and verbal communication skills.

Proficient in Word and Excel.

Effective time management.

Ability to prioritize work and meet deadlines.

Ability to learn new computer programs.


Must be able to deal with the general public, tenants, public officials, commissioners, local, state, and federal officials, supervisors, and other staff members in a professional manner.


Minimum Education and Experience:

Must have a high school diploma.

Must have a minimum of 5 years' experience working as an Administrative Assistant or comparable position.

Must have strong organizational skills.

Must have excellent written and verbal communication skills.

Must have excellent typing skills and be proficient in computer programs.
