Job Summary:


The Front Desk Receptionist is responsible for managing the front desk and serves as the first point of contact for visitors, clients, and employees.

The Front Desk Receptionist will create a welcoming and professional atmosphere. This role involves managing various administrative tasks while providing excellent customer service. This role emphasizes punctual administration, interpersonal skills, and teamwork.

Duties include greeting visitors, answering and directing phone calls, managing the reception area, handling mail deliveries, assisting the Director of Marketing with event preparation, administrative support where necessary, maintaining records, assisting with security procedures, and coordinating with other departments as needed.


Duties/Responsibilities:


  • Welcome visitors, clients, and employees in a courteous and professional manner.
  • Provide information and assistance to visitors, including directing them to the appropriate personnel or area.
  • Sell tickets, passes, and fare cards to passengers as walkins at the front desk.
  • Process payments, issue receipts, and ensure that fares are collected accurately and efficiently.
  • Take messages accurately and relay them to the intended recipients in a timely manner.
  • Maintain a clean, organized, and professional reception area.
  • Assisting in coordinating marketing events and promotional activities.
  • Organizing and preparing promotional materials for events.
  • Proofread written documents such as press releases, media advisories, newsletters, and calendars.
  • Filing and organizing promotional items and materials for storage.
  • Ensure that reading materials and other resources are readily available for visitors.
  • Provide information and assistance to visitors, including directing them to the appropriate personnel or area.
  • Handle any other tasks or special marketing projects as needed.

Education/Skills:


  • Associate degree in a related field strongly preferred; or an equivalent combination of education and experience to successfully perform the essential duties of the job.
  • Minimum of 2 years of experience working in an administrative/front desk role.
  • Proficiency in Microsoft Office programs a must
  • Graphic design experience is a plus
  • Excellent communication skills, both verbal and written.
  • Effective time management, organizational skills,
  • Must be a team player and have a positive, cando attitude.

Working Conditions/Physical Requirements:


  • Primarily sedentary work. Working conditions are generally indoors, in a temperaturecontrolled office environment, working closely with others and alone.
  • Possible exposure to dirt, dust, moderate noise, electrical/chemical/mechanical hazards, communicable diseases, angry/difficult people, and construction sites.
  • Will travel with Director of Marketing to help assist in events.
  • Essential and other important responsibilities and duties may require maintaining physical condition necessary for walking, standing, or sitting for prolonged periods of time; kneeling, squatting, bending, twisting, and crouching during assigned activities, pushing and/or pulling, climbing stairs, lifting, and carrying materials. Must be able to lift to 25 pounds at times.

General Working Hours:

Monday-Friday 8:00am-5:00pm. Position requires some flexibility in scheduled working hours. Some overtime may be required and may need to work a weekend here and there for special events.


Travel:

Travel will be required. Must have a valid driver's license.
