    Job Summary:

    We are an long established law firm seeking a highly organized and proactive office manager who values and acknowledges the importance of guidance and directives from senior management, and demonstrates a willingness to adhere to and respect established hierarchical communications and decisions. The ideal candidate is also a dynamic individual who brings a consistently positive attitude, capable of energizing our team and creating an upbeat office environment. The role of an office manager in a law firm is both diverse and dynamic, requiring a mix of administrative competence, financial acuity, people management skills, and the ability to multitask effectively under pressure. The successful office manager facilitates the firm's operations, allowing the legal professionals to focus on their cases and client service.


    Required Skills/Abilities:

    . Professional appearance with a respectful, calm, and confident demeanor

    . Strong organizational skills with the ability to manage multiple tasks and priorities efficiently, keeping the office running smoothly

    . Attention to detail and meticulousness in handling administrative tasks, ensuring accuracy and preventing oversights

    . Excellent communication skills (both written and verbal) as essential for liaison between staff, management, clients, and the public

    · Problem-solving abilities and the capacity to identify issues quickly and come up with effective solutions to keep operations seamless

    . Leadership and team management with specific skills in leading, motivating, and managing team members while fostering a positive and productive work environment

    . Financial acumen and understanding of basic financial tasks, which is crucial to this position

    · Tech-savviness with proficiency in office management software, including email, spreadsheets and databases, as well as the ability to adapt to new technologies

    . Time management and skill to allocate one's time, efficiently meeting deadlines and ensuring that work is completed in a timely manner

    . Proactive work ethic in taking initiative, identifying, and addressing needs or improvements without prompting

    . Strong customer service orientation because the role interfaces with clients and the public, and the ability to manage these relationships and deliver satisfactory outcomes

    . Confidentiality and trustworthiness in handling sensitive information responsibly and maintaining discretion at all time.

    · Willing to undergo a background check and to sign a confidentiality agreement

    Duties/Responsibilities:

    In a law firm, an office manager plays a pivotal role in ensuring the smooth operation of the firm by handling administrative, operational, and managerial tasks. The specific duties and responsibilities include:

    · Administrative support by overseeing the day-to-day administrative operations of the law firm, including document management, mail handling, maintaining office supplies and inventory

    · Financial management by managing the firm's finances, including bookkeeping and preparation of some financial reports. This will involve coordinating with accountants on tax preparation and financial planning

    . Human resources by handling HR duties, such as a recruiting, hiring, onboarding, training, staff, managing payroll, benefits administration, assistance in performance of evaluation processes, and ensuring compliance with labor laws and regulations

    . Client relations in serving as a point of contact for clients, addressing their inquiries and concerns and ensuring a positive client experience

    . Facilities management in overseeing the physical space, ensuring a safe and efficient work environment. This includes coordinating maintenance, repairs, and planning office layouts

    . Technology and systems in supervising the IT infrastructure of the firm, ensuring the reliability of legal databases case management, software and communication systems. Coordinating with outside IT support for troubleshooting and updates

    . Staff support and management in creating a supportive environment for the legal staff by facilitating collaboration and communication, organizing team meetings when necessary, and handling conflict resolution as needed

    · Strategic planning in assisting in developing and executing the firm's strategic plans, including identifying opportunities for growth or improvement in operations

    . Vendor relations in negotiating with suppliers and service providers, ensuring the firm receives quality products and services at competitive rates

    · Performing other related duties as assigned.

    Education and Experience:

    · Bachelor's degree (preferred)

    · Office manager experience (highly preferred)

    · Legal background experience (highly preferred)

    · Bookkeeping experience (highly favored)
