Responsibilities:


Administrative Duties:


  • Read, analyze, and distribute incoming memos, letters, and reports.
  • Respond promptly and professionally to internal and external inquiries.
  • Create and organize project information using project management systems.
  • Maintain accurate records of payroll, personal information, leaves, and turnover rates.
  • Ensure compliance with employment requirements and data privacy regulations.
  • Prepare meeting agendas, coordinate schedules, and arrange appointments.
  • Schedule interviews, HR events, training sessions, and seminars.
  • Assist with onboarding procedures and new hire orientations.
  • File documents, photocopy materials, and distribute meeting minutes.
  • Order office supplies, maintain database records, and update HR software.
  • Produce and submit reports on general HR activity as required.

HR Coordination:


  • Assist in planning, developing, organizing, implementing, and evaluating HR department activities.
  • Recommend staffing levels to the administrator and assist in the recruitment process.
  • Maintain confidentiality of employee information and ensure compliance with privacy regulations.
  • Assist with employee orientation, training, and development programs.
  • Monitor compliance with federal and state employment regulations.
  • Coordinate employee benefits programs and assist with payroll processing.
  • Assist in resolving employee relations issues and grievances.
  • Conduct exit interviews and assist with termination procedures.
  • Maintain employee records and ensure accuracy of personnel transactions.

Qualifications:


  • A bachelor's degree in business administration or a related field is preferred but not required.
  • Experience in administrative roles preferred but not required.
  • Thorough knowledge of laws, regulations, and guidelines concerning personnel administration in nursing care facilities.
  • Strong organizational, communication, and multitasking skills.
  • Familiarity with HR software and office productivity tools.
