The Service Advisor position is crucial as you set the tone for both the customer experience and the shop flow.

Responsibilities:


Advising:

Our Service Advisor team is responsible for advising our customers and selling repairs and service based on their needs, goals and desires, using company guidelines and best practices.

Advising is a complicated series of moves that requires good time management, prioritization and follow-through.

Learning to communicate early and often is the key to success and an effective Advisor will master communication, both with their customers and their teammates.


Administrative:

Our Service Advisors are responsible for operating the Point-of-Sale software in order to create repair orders and invoices, search, organize and order parts, dispatch repair orders and bill out customers for completed work.

They are also responsible for helping to manage the following administrative items:


  • Customer retention software
  • Daily close procedures
  • Incoming payments from customers and vendors
  • Sales Tracker

Productivity:
Following customer service, productivity is the most important job for any employee in the shop.

Service Advisors use tools like the Point-of-Sale software, customer communication tools and the shop Flow Board in order to ensure that the customer gets their vehicle back as soon as possible, thus ensuring maximum Technician productivity.

A successful Service Advisor will use all of the tools available to them, including non-verbal communication, to effectively create a smooth, efficient and positive workflow through the shop.

They will take direction from their Service Manager and learn to operate within their style to be as efficient as possible.


Culture:

A successful Service Advisor will build culture with the Technicians as well as the Support Staff team in order to create an environment of trust.


Opening and Closing Procedures:
Advisors are responsible for opening and closing the shop on a daily basis.

Their duties include, but are not limited to, securing all vehicles, doors, bay doors and windows on the property, performing daily close procedures as directed by upper management and the Service Manager and managing customer communication software.

Opening and closing procedures will be posted in shop communication software as well as around the shop itself.


Other:
Service Advisors are asked to fill in on tasks as needed to maintain the flow of the shop.

This could include any duty assigned to a Technician or a support staff team member, as long as they are qualified to perform said task.


Examples could be:

running a shuttle, selling tickets, checking out customers, cleaning the bathroom, picking up a part, or any other task that can be safely completed which is needed.


Any other duties as needed to drive to the vision, fulfill the mission, and abide by the value of this organization.


Must possess the following Qualifications, Knowledge, Skills, and Abilities:

  • Must possess a valid US Driver's License, be insurable on the store insurance policy, and possess the ability to drive a vehicle with passengers.
  • 2 years or more of practical experience working in a sales role
  • Demonstrative skills in team work and culture building
  • Proven track record of driving financial performance
  • Ability to clearly communicate in English with others
