Position Summary
The mid-level receptionist supports the mission of the United States Agency for International Development (USAID) Bureau for Management (M Bureau) by providing administrative support to USAID, M Bureau, and select Operating Units (OU).
It is the first impression of USAID that all visitors, including senior government personnel and dignitaries, have to the agency.
The performance of this position is key to RavenTek's performance on the USAID Intel contract, and therefore RavenTek's mission to support USAID.
Essential Duties and Responsibilities
- Greet agency visitors in the lobby, log visitors into a database, photocopy documents and direct uncleared visitors to security checks.
- Operate a single telephone switchboard or console, used to relay incoming, outgoing, and intrasystem calls.
- Personally respond to inquiries for information concerning agency visitor procedures and determine which requests should be handled by appropriate agency staff or security personnel.
- Type and perform other routine clerical work, usually while at the switchboard or console.
- Coordinate with guard force on all visitor screening requirements.
- Enter actual time worked, once complete, at the end of the day, or no later than 10:00 a.m. the following workday, and submit timesheets at the end of each pay period.
- Complete and submit Monthly Status Reports (MSR) to the Project Manager by COB on the last working day of the month.
- Complete required compliance training as assigned.
- Other duties as assigned.
Qualifications, Knowledge, and Critical Skills
- Must be highly organized and driven with strong verbal communication skills.
- Shall be proficient in grammar, spelling and punctuation and is also required to produce printed materials accurately.
- Articulate and comfortable around senior personnel and dignitaries.
- Must understand basic protocols, i.e. rank, position and authority.
- Utilize and reference the visitor database to verify preregistration and proper clearance level for visit.
- Ability to screen telephone calls, visitors, and incoming correspondence.
- Analytical skills: Proactive, flexible, attention to detail, and organizational skills required.
- Required to be proficient in office products, such as Word, Excel and PowerPoint for secretarial/word processor/spreadsheet/data base/ power point requirements.
- Familiarity with Google Suite of tools, such as, Gmail, Docs, Calendars, and Drive a plus.
Education & Experience
- High School Diploma.
- Minimum of one year experience, preferably with the Federal Government.

Special Requirements
- Secret security clearance required.
Work Environment
Employee will be working indoors in an office environment with other people. Potential moderate temperature fluctuations. Typical indoor and computer related noise level, and typical office, paper, and equipment related dust. Exposure to video display terminals occurs on a regular basis.
Physical Demands
Employee needs to be able to sit at a workstation for extended periods; use hand(s) to handle or feel objects, tools, or controls; reach with hands and arms; talk and hear; see to read printed materials and computer screens; mobility to work in a typical office setting.
