We are seeking an organized and proactive Contract Support Specialist to provide comprehensive administrative support and project tracking within our Quality Assurance department.


Responsibilities:

Project and Installation Support:


  • Provide administrative support for contract installations and project tracking.
  • Organize raw delivery contract information and create new project alerts for the team.
  • Research shipping information for customer and deployment locations, ensuring accuracy.
  • Request shipping quotations from thirdparty vendors using confirmed data from customer interactions.
  • Coordinate incoming delivery schedules with enduser customers and investigate additional onsite requirements for the deployment team's preparation.
  • Assist the deployment department by creating deployment document packages, asset labels, and managing customer contact information.
  • Review, edit, and qualitycheck deployment documents and file them appropriately.

Coordination and Communication:


  • Coordinate with thirdparty contractors and oversee whiteglove installations and field asset relocations.
  • Enter delivery data and report completed deliveries in realtime to the project manager.
  • Raise internal red flags to management on projects delayed by unforeseen actions.
  • Maintain a company asset heatmap using thirdparty software.

Data Entry and Analysis:


  • Track and analyze data related to contract award results.
  • Support additional administrative data entry tasks as required.

Requirements:


  • Associate degree or higher in Business Administration or a related field.
  • 2+ years of experience in administrative roles, preferably with project management experience.
  • Strong organizational skills and ability to manage multiple tasks.
  • Proficiency with Microsoft 365 programs and familiarity with project management tools.
  • Excellent verbal, written, and organizational communication skills.
  • Strong time management skills and attention to detail.
