Certificate of Occupancy Project Manager in our large expanding company

Milrose provides a comprehensive suite of building compliance solutions to the industrial, academic, healthcare, institutional, residential, commercial, retail, and entertainment business sectors.

Services provided by Milrose Consultants, Permit Advisors, and Integrated Group include but are not limited to:

Code Consulting, Zoning Analysis, Special Inspections, and Permit Expediting services for New Buildings, Interior Alterations, Permits, Violation Research, Violations Dismissals, Letters of Completion, and Certificates of Occupancy.


Summary:


The Certificate of Occupancy Project Manager (CO Project Manager) is responsible for the detailed coordination and management of Certificate of Occupancy and Place of Assembly permit requirements at the Department of Buildings or related municipal agencies.

The Certificate of Occupancy Project Manager must resolve the often conflicting interests of the client, architect, engineer, and other parties participating with the project.


Essential Duties and Responsibilities:


  • Is the primary contact for the client and updates the internal and external teams on the Occupancy milestones such as but not limited to: Plumbing sign off, elevator sign off, required letter of completions, open violations, etc.
  • Responsible for data entry and management of Schedule of Occupancy in DOB Now: Build, resolve objections up to approval.
  • Coordinate with Architect/Engineer to resolve any objections and notify internal or external team members when objections and approvals are issued.

Responsible for Scheduling:


  • Milrose preliminary walk
- through inspections.

  • Application withdrawal inspections.
  • Construction Division
  • Department of Buildings.
  • Construction Division
  • High Rise Unit.
  • Responsible for review, assembly, quality control and distribution of the inspection package with required plans and paperwork for CO Field Representative.
  • Communicate with clients and all team members regarding inspections and results.
  • Coordinate with CO Field Representative on the Walk-Through Summary report.
  • Adheres to company's standard operating procedures to successfully execute tasks.
  • Tracks all jobs through municipality from submission of sign off or occupancy as required.
  • Notifies Production Manager and/or Director of any problems that arise during a project to work towards resolution.
  • Achieve monthly productivity goals/expectations set by the Production Manager.
  • Updates WAVE (Milrose internal system) regarding receivables, service completions, pertinent project information notation and project updates.
  • Oversee CO Filing Representative or Project Coordinator on the execution of deliverables.
  • Attends project meetings and conference calls as needed.
  • Perform additional duties as assigned

Education and/or Experience:


  • Bachelor's degree and two to three years comparable experience.
  • Excellent organizational and critical thinking skills required along with the ability to multitask and work independently.
  • Must be able to work independently, as a team leader and collaborate with other internal departments.
  • Experienced in reading and comprehending engineered drawings.
Ensuring the plans meet various compliances for service completion.

  • Ability to research, adapt, interpret, communicate different municipality portals or websites. Must be a collaborator with strong initiative and a desire to learn.
  • Knowledge and proficiency in utilizing the Department of Buildings Information System (BIS), DOB Now: Build, Inspection Ready, Efiling, or other agency portals.
  • Effective communication and interpersonal skills.
  • Highly proficient in use of computer with Microsoft Word, creation and editing of Excel, creation of PowerPoint presentations, Outlook, Microsoft Teams, Adobe Acrobat skill sets and other programs.
  • Experienced in Salesforce platform.

Compensation:


Annual Salary Range:
$90,000-$100,000 USD


Customer Service:


  • Demonstrate flexibility in satisfying customer demands in a highvolume production environment.
  • Maintains the highest levels of customer care while demonstrating a friendly and cooperative attitude either verbally or written communication.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
