The Education Insights Center (EdInsights) on Sac State campus is seeking to hire one Administrative Assistant. The Administrative Assistant will provide direct assistance to center directors, project leads, managers, and other administrative staff.

Under the supervision of the Finance and Operations Manager, the Administrative Assistant will help plan and execute services in the areas of:
Operations, Finance, and Event Planning. In the absence of the Finance and Operations Manager, the position will report to the Associate Director.

**Conditions of Employment
This is a part-time, temporary, non-benefited position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.


UEI does not allow employees to hold more than one UEI Job at a time, or work in more than one college or center per pay period.

UEI employees who are considering leaving their current UEI position for a different UEI posting should inform their supervisor in writing and provide at least a week's notice.

**Work Schedule
Flexible workdays and work hours, Monday - Friday, between 8 AM - 5 PM. Final work schedule to be determined by supervisor.

**Additional Work Schedule
Temporary employees generally work up to 40 hours per work week up 120 calendar days.

M **inimum Qualifications

  • High school diploma required.
  • Ability to perform basic mathematics.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Basic verbal and written communication skills.
  • Excellent attention to detail and strong organizational skills.
  • Basic time management skills.
  • Comfortable in a collaborative team environment.
  • Strong work ethic and initiative.
  • Basic interpersonal skills with the ability to establish and maintain effective internal and external working relationships in a diverse environment.
  • Ability to independently troubleshoot and resolve problems.
  • Must pass a background check, which may include fingerprinting. Must continue to meet the established standards.**Preferred Qualifications
  • 1 year of administrative experience.
  • Experience with meeting and event planning, including on virtual formats (such as Zoom).
  • Experience with project management software (such as Trello).
  • Experience with file management.
  • Strong experience with word processing and spreadsheets (such as Microsoft Word, Microsoft
Excel, Google Documents, and Google Sheets). Ability to draft and compose correspondences.**
Responsibilities:
  • Assist with overseeing main office tasks, which will include:
  • Coordinating center celebrations and other acknowledgements.
  • Purchasing general supplies, equipment, and other office materials.
  • Purchasing and organizing furniture, workspaces, and general organization
needs.

  • Assist with maintaining accurate inventory of EdInsights equipment.
  • Assist with spreadsheets to communicate and track center projects, updates and
timelines.

  • Assist with researching and learning new office support technology systems, software,
and processes independently and quickly.

  • Assist with submitting service tickets to Information Resources and Technology (IRT) and Facilities Management.
  • Assist with logging, filing, and reconciling expenses on a daily, weekly, and monthly
basis.

  • Assist with maintaining all records and proper documentation for project and center
expenses.

  • Assist with preparing reimbursement requests for travel and other center and project
expenses.

  • Assist with preparing payment instructions for vendor invoices, staff credit cards, and
other expenses.

  • Assist with preparing and executing University Enterprises, Inc. consultant and
subcontract agreements.

  • Assist with reviewing and tracking vendor contract deadlines and deliverables.
  • Assist with planning and scheduling various meetings, events, monthly staff activities,
and team building and volunteer opportunities.

**Physical Requirements

Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation.

Work is performed in a hybrid environment.
