Position Summary:
The Purchasing Assistant will support business and purchasing department activities by providing administrative support to the Purchasing & Inventory Manager, ensuring purchase orders are placed according to expectations and inventory tracking is continuously maintained in the ERP system.
Essential Duties:
- Maintain the Purchase Order process and system, ensuring proper authorization is obtained, PO's are closed out in the ERP system, and proper documentation is forwarded to accounting.
- Effectively procure materials, goods and supplies, ensuring the correct items are purchased at the most costeffective price.
- Research and obtain pricing from multiple vendors (3way bid).
- Build and maintain vendor/supplier relationships.
- Track orders and ensure timely delivery.
- Match copies of packing slips to POs and file
- Management of digital files of packing slips and POs
- Data entry into various programs to track orders, receipts, cycle counts, etc.
- Assists in resolving back orders, overorders and damaged goods.
- Enter order details; create and issue PO's to authorized vendors/suppliers.
- Communicate with coworkers, other departments and all levels of the organization to regarding order status.
- Maintains the company's current list of suppliers/vendors with up to date contact information.
- Manage inventory for kitchen and office supplies
- Effectively performs special assignments and projects as requested by leadership.
- Follows DPG safe work practices in performing duties for the company.
Skills and Requirements:
- High school diploma or equivalent.
- Excellent verbal communication skills
- Proficiency in computer processing functions, Microsoft Excel and other standard office equipment
- Ability to effectively manage and prioritize multiple tasks
- Ability to read, comprehend reports and business documents and explain clearly and concisely to others
- 1 year experience in a purchasing or equivalent role.
- 1 year experience with an ERP or Accounting program
