- Support activities of the Supervisor.
- Order, accumulate and ship supplies for events including items like name badges, program books, pre-conference gifts, handouts or any other item needed at the meeting.
- Keep detailed electronic records for meeting planning processes.
- Serve as the initial contact person for internal and external phone or email inquiries.
- Support Supervisor in preparation and communication documents, rooming lists, attendance lists, transfer lists, activity lists, online registration and compilation of shared information.
- Assist Supervisor with maintaining procedures and other related job duties. Follow vendor management, accounting, and audit procedures.
- Assist Supervisor with researching destinations, hotels, destination management companies and any other information needed to evaluate a potential meeting location.
- Work with Enterprise Marketing and Communications in developing branding, communication and promotional plans for upcoming events.
- Work with Supervisor to prepare detailed instructions for vendors including room set ups, audio visual requirements, schedules, food and beverage requirements, rooming lists, arrival and departure manifests, event attendance, dcor requirements and other arrangements.
- Associates degree.
- Two years related experience.
- Proficient with all Microsoft Office products, including Excel.
- Excellent organization and communication skills.
- Limited travel may be required.
- Pay: The hourly pay for this position is $22.50 per hour. The specific rate will depend on the successful candidate's qualifications and prior experience.
- Work Arrangements: This is a full-time hybrid position: 37.5 hours per week (7.5 hours per day), Monday- Friday, with flexible start time between 7:00AM-9:00AM. Hybrid positions work at least 3 days in office and the remaining days each week working from home.Employees beginning to work in a new hybrid role will be asked to work on-site (5 days a week) during the initial training period which may be up to 1 year.
