    Job Description



    POSITION OBJECTIVE

    The Grants Specialist will work with a high degree of independence under general direction from the Assistant Dean for Research Administration. The specialist will serve as a primary point of contact and help facilitate the overall grant process while balancing the need for institutional and sponsor regulatory compliance. The specialist will coordinate grants and contracts (federal and non-federal) from the proposal preparation stage, through submission, award and post-award stage and will provide the technical and editorial expertise required for submission of scholarly award nomination packets for faculty. This position will review proposals and contracts, negotiations of subcontracts and awards, and establishment of grant accounts. This position is responsible for using independent judgement to carry out the essential functions described below including ensuring that contractual terms of grant applications and federal regulations are acceptable within university financial and compliance systems.

    The specialist will participate in Center for Research and Scholarship (CFRS) strategy planning and support the long- and short-term goals of the center and the school. In addition, the grants specialist will work independently to write/edit letters of support for grant applications as well as scholarly award packets for research faculty.

    ESSENTIAL FUNCTIONS

    1. Provide administrative and editorial consultation with investigators and staff regarding all aspects of preparing applications by interpreting sponsor and/or institutional guidelines and policies and communicating current policies to investigators. Coordinate the preparation of information sent to the sponsor relative to the grant requirements/award specifications to ensure that information is correct, meets all requirements, and is submitted within the application deadline. Provide direction and training to investigators and staff on current regulations and compliance required for grant applications. Resolve grant submission issues, referring the most difficult ones to the supervisor for advice and decision. Research, investigate and review funding opportunities that serve the needs of the School of Nursing faculty. Maintain up-to-date knowledge regarding federal and non-federal research administration practices and policies. (40%)
    2. In conjunction with investigators, prepare budget details for grant/contract applications and renewals for investigators. Review budgets and sub-contracts for grant applications and ensure budget requirements are met and coordinate the pre-award administrative functions. Proper review requires thorough knowledge of complex requirements and clear communication with finance departments across the campus and outside organizations. Serve as a liaison to the university's central Office of Sponsored Projects Administration in processing grant applications, negotiating research contracts, and interpreting the university's research policies and procedures (including use of human subjects, misconduct in research, and other related issues), and with other university offices as necessary and appropriate. Maintain log of all awards, budgets, and sub-contracts. (20%)
    3. Prepare all faculty award nomination packages including writing nomination proposals and draft/edit letters of support for grant applications as well as scholarly award packets for research faculty. Review all award nomination packages to assure that all requirements and deadlines are met. Maintain log of all nomination packages and applications. (30%)
    4. Provide administrative and editorial oversight to investigators in conducting interim and final grant reports. (10%)

    CONTACTS

    Department: Assistant Dean for Research Administration (daily), Assistant and Associate Deans for Research at SON (weekly), Assistant Dean of Finance, finance office staff (daily), members of Center for Research and Scholarship staff (daily).

    University: Occasional contact with office of research administration, vice-president of research, president's office, office of foundation relations, other university management centers, faculty, and staff from other colleges.

    External: Contact with sponsor agencies (federal and non-federal) (daily), peers at other universities and/or health care organizations (monthly) and contacts at subrecipient organizations (as needed).

    Students: Regular contact with student workers.

    SUPERVISORY RESPONSIBILITIES

    Supervisory responsibility for student workers.

    QUALIFICAITONS

    Experience: 3 or more years of experience in sponsored projects administration at a research university or other academic institution is required. A minimum of 1 year of experience in writing (academic or scientific) is required. Experience with both pre-award and post-award aspects of sponsored project administration is desired.

    Education/Licensing: Bachelor's degree required; master's degree preferred.

    REQUIRED SKILLS

    3. Knowledge of regulations and processes required for submission of proposals to and acceptance of awards from federal and non-federal sponsors.
    4. Excellent writing and grammar skills with the ability to write business correspondence, letters of support, and nomination proposals.
    5. High proficiency in budget development and setting up awards from a variety of sponsors (federal and non-federal).
    6. Highly motivated with a strong service orientation.
    7. Must be an effective communicator and advocate exercising strong interpersonal skills with the ability to bring people together to create solutions and arrive at a successful conclusion and-if necessary-communicate difficult messages effectively.
    8. Ability to meet consistent attendance.
    9. Ability to interact with colleagues, supervisors, investigators, and students face-to-face in a professional manner.

    WORKING CONDITIONS

    Identify the working conditions and physical demands which relate to the essential functions of the position, such as working indoors/outdoors, working with exposures to hazards, etc. Include special considerations for the position, such as occasional travel or necessary overtime.

    Hybrid Eligibility



    This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
