Position Description
- Manage and oversee the CEO's busy schedule.
- Help the CEO organize the office and files.
- Take meeting notes and minutes as requested.
- Offer executive-level support across the company.
- Arrange client meetings for leadership.
- Communicate with high-level clients and their teams.
- Interact with the Board of Directors and aid in scheduling and planning quarterly meetings.
- Maintain confidentiality and customer trust.
- Arrange all travel details such as flights and accommodations.
- Handle monthly credit card statements.
- Answer calls professionally and direct inquiries.
- Coordinate conference calls for the leadership team.
- Manage mail distribution.
- Monitor office supplies and place orders as needed.
- Send packages, letters, and cards.
- Greet and assist guests and provide support during meetings.
- Assist in organizing corporate events and philanthropic activities.
- Support marketing initiatives and material production.
- Ensure office equipment functionality and maintenance.
- Coordinate maintenance tasks and office appearance.
- Run errands and handle miscellaneous projects.
Desired Profile
- Looking for adaptable, organized, and accountable individuals.
- Prioritize customer needs and provide excellent service.
- Work efficiently with minimal supervision.
- Proficient in Word, PowerPoint, and Excel.
- Attention to detail and ability to handle confidential information.
- Strong communication skills.
- Effective time management.
- 3+ years experience in a similar role is preferred.
- Bachelor's degree is a plus.
