Job Summary:


Reporting to the Vice President of Government Affairs/External Relations, the staff assistant will work closely with both the Executive Office and the Office of the General Counsel and will perform various administrative tasks to support departments daily.


Essential Functions:


Government Affairs/External Relations

  • Support Vice President of Government Affairs/External Relations for all key stakeholder/elected official meetings, drafting briefing materials and key talking points
  • Collaborate with Vice President of Government Relations/External Affairs to create and implement the strategic direction of external affairs, government relations initiatives
  • Work with Vice President of Government Affairs/External Relations to assist the University as necessary at key events, meetings, discussions, hearings, and conferences
  • Conduct research and monitor legislation that impact the University
  • Collaborate with appropriate staff to advance the University's agenda

General Duties and Responsibilities Include:


  • Support departments with adhoc administrative tasks, meetings, and event setup
  • Assist with coordination of meetings, internal/external conferences and inperson events
  • Take meeting minutes, assist with schedule/calendars, make appointments, book meeting rooms, enter visitor information into building security platform, and basic data entry
  • Keep records and reports up to date
  • Answer telephone, direct calls, and take messages
  • Attend meetings, as necessary and take detailed notes
  • Compile expenses, mileage reimbursement requests
  • Assist with travel arrangements and hotel accommodations for staff, as needed

Other Functions:


  • Perform other related duties as needed

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience):

  • Bachelor's degree or equivalent experience with proven office administration and customer service skills.
  • At least 2 years of relevant work experience

Working Conditions:


  • Typical office environment.
  • Must be able to travel occasionally to all UMass campuses and the Boston office.

Additional Details:

Salary commensurate with experience up to $65,000.
