About the Role:
Executive Assistant


Nextpoint is looking for a highly organized and proactive Executive Assistant to provide high-level administrative support to our CEO, as well as across the Executive Leadership Team.

The role requires exceptionally sound judgment, outstanding communication skills, a high level of integrity and discretion with confidential information, and professionalism while interacting with senior leaders inside and outside of our Company.

Please note, this role combines executive assistant duties with the occasional personal assistant tasks as needed.

We operate under a hybrid model, with a physical presence required at our Chicago headquarters at least 3-4 times per week with the expectation that additional presence may be necessary to align with the preferences and schedule of our CEO and other key executives.


Responsibilities:


  • Manage the CEO and other executives' calendars, set up meetings, appointments, and travel arrangements.
  • Draft, review and send communications on behalf of the executive team.
  • Organize and prepare for meetings, including gathering documents and managing logistics of meetings.
  • Prepare and review presentations, reports, and documents.
  • Conduct research and compile data to prepare reports and presentations.
  • Manage personal tasks for our CEO on an as needed basis.
  • Coordinate and organize meetings, events, and conferences.
  • Handle confidential information and maintain discretion at all times.
  • Anticipate the needs of executives and proactively address issues.
  • Liaise with staff and clients, as needed.
  • Perform other administrative duties, as needed.

Requirements:


  • A bachelor's degree in business administration, liberal arts or related field is preferred but not always required, depending on experience.
  • 4+ years of proven experience as an executive assistant or similar role.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to react with appropriate levels of urgency in situations that require prompt responses or turnaround.
  • Proficiency in using Google Suite, MS Office and other relevant software.
  • Discretion and confidentiality.
  • Ability to multitask and prioritize tasks.
  • Attention to detail and problemsolving skills.
  • Flexibility and adaptability to changing priorities.
  • Professionalism and the ability to interact with individuals at all levels.
  • Willingness to work longer hours to accommodate the needs of the executives.
  • An interest in working in an entrepreneurial, fastpaced, high growth software company.
  • Proof of Covid 19 vaccination. Must be authorized to work in the US for any employer.
