Description

Whitpain Township, Montgomery County, PA (population 20,333) seeks a qualified individual to fill the Part-time Code/Front Desk Administrative Assistant position.


In this role, you will work Monday-Friday for an average of 24 hours per week, maintaining the front desks for both Front Office and Code Enforcement as part of the centralized administrative team.

This position involves public contact at the front desk windows and on the phone.


Responsibilities Include:


  • Schedules inspections and appointments for Code Department
  • Maintains and files correspondence, building plans, inspection reports, permits, plans and records.
  • Interacts with the public, developers, lawyers, contractors and residents regarding Township regulations, ordinances, and procedures.
  • Assists Zoning Hearing Board Secretary with Zoning Hearing Board cases, as needed.
  • Schedules Public Notice and advertisements in the Times Herald and schedules hearing, stenographer, etc.
  • Enters permits in Munis software.
  • Gathers data for mailings.
  • Provides backup support to the Front Office, as needed.

Job Qualifications:


  • Use of Microsoft Office including Word, Excel, Publisher, Power Point, Outlook, internet.
  • Two (2) years prior administrative experience preferred or degree in an administrative program.
  • Experience with Munis Software is a plus.
  • Complete knowledge and ability in business correspondences. Ability to proofread for grammar, spelling, and punctuation with high degree of accuracy.
  • Ability to handle multiple responsibilities simultaneously, has ability to prioritize work and address emergencies as they may occur.
  • Good communication skills and ability to effectively interact with diverse and (sometimes) irate individuals.
  • Ability to identify problems associated with the daily work routine and provide suggestions for correction of those problems,
  • Experience providing customer & personal services. This includes needs assessment, meeting quality standards, and evaluation of customer satisfaction.
