The Finance Assistant, positioned in the SIT Global Operations Team, conducts financial and occasional administrative tasks for the School for International Training.

SIT enrolls over 2,000 students per year, operates in more than 30 countries, has a budget in excess of $40 million per year, and works in more than 25 foreign currencies.

The Finance Assistant is responsible for ensuring smooth budget execution for programs abroad, tracking various budget processes and payment requests, assisting with reporting and other tasks, as directed by the Global Programs Finance Manager.

Work is performed within established budgeting systems and procedures, although considerable independence is required in the performance of responsibilities.


Responsibilities

  • Process and monitor payment requests through online financial system (Intacct)
  • Receive and respond to program budget and payment inquiries from field offices, internal staff, and vendors
  • Resolve data entry errors and monitor transaction processes to ensure transactions are fully processed in a timely manner
  • Initiate requests for New Vendor data and Vendor modifications in Intacct as needed to maintain accurate vendor data base
  • Work with program financial managers and thirdparty accountants by providing information on disbursements, timing, and purpose of fund transfers
  • Review and process program credit card usage on a monthly basis
  • Monitor and maintain records for special projects, such as ongoing vendor payments from home office, offbudget disbursements, and international payroll activities
  • Establish and maintain disbursement records for approximately 60 programs per semester
  • Assist with the annual budget formulation process by updating and organizing Excel workbooks, tracking communications, and monitoring timelines
  • Review posted expense transactions for a select number of programs each term. Report findings to management
  • Contribute to program budget maintenance by ensuring that student enrollment numbers are regularly updated in program budget templates Create ad hoc reports and occasionally perform administrative tasks, as directed by the Global Programs Finance Manager and the Director of Global Operations

Requirements:


  • High school diploma or equivalent
  • 2 to 3 years of experience in accounting, bookkeeping, financial management, or any equivalent combination of experience and training
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and timesensitive deadlines
  • Considerable knowledge of practices and procedures involved in development and compilation of budgets
  • Demonstrated experience with Microsoft suite of programs, particularly Excel, Outlook, and Teams
  • Prior experience with financial accounting software (such as Intacct)
  • Knowledge of computer systems in the maintenance of records, modern office practices, procedures, methods, and equipment
  • Openness to learning, improving process efficiency, and flexibility when working with others
  • Ability to think logically in analyzing and solving problems
  • Ability to examine and verify financial documents and reports
  • Ability to assess the relevance of various financial information
  • Ability to develop and maintain complex filing systems
  • Ability to prepare budget files in an orderly, efficient, and effective manner
  • Ability to establish and maintain effective working relationships with colleagues, Faculty (Academic Directors), and external organization representatives
  • Experience working with foreign currencies a plus
  • Demonstrated ability to successfully work remotely, if desired
