Position Description:


  • The Entities Coordinator represents the Harris County Clerk's Office Elections Department in various capacities by coordinating the onboarding and contracting process for local municipalities, school districts, college districts, emergency services districts, and smaller entities seeking to join a Harris County ballot.


The Entities Coordinator maintains direct communication with local districts and develops professional relationships with district and legal contracts to provide the best service as they join the ballot.

It is also essential to make sure that members of the Early Voting Ballot Board, Signature Verification Committee, and Central Counting Station are nominated by the parties, appointed by the proper authority, and communicated within a timely manner to conduct their business.


Duties and Responsibilities:


  • Prepare Entity Contract along with assistance from County Attorney's Office and Purchasing Department.
  • Prepare and host Entity Informational Meetings.
  • Work with Entities to input Ballot Languages in the Portal.
  • Support Ballot Language team with Ballot Proofing Process.
  • Receive and confirm nomination lists from political parties.
  • Coordinate Elections Board meetings.
  • Prepare documents, minutes, name badges, signin sheet and process timesheets for the Early Voting Ballot Board, Logic & Accuracy and Central Count Station Board.
  • File and Post Notices of Elections.
  • Prepare agenda items for Commissioner Court meeting as needed.

Education and Experience:


  • Bachelor's Degree from an accredited college or university.
  • Two (2) years of Public or Community Relations experience.

OR

  • Associate degree from an accredited college or university.
  • Three (3) years of Public or Community Relations experience.

Knowledge, Skills, and Abilities:


  • Must be able to work independently, under stress, and very tight deadlines.
  • Ability and willingness to work with diverse range of groups, including local municipalities, districts, political parties and their representatives.
  • Strong written and verbal communication skills.
  • Strong public speaking and presentation skills.
  • Ability to work on multiple projects with clear deadlines.
  • Ability to work in a fastpaced, teamoriented environment.
  • Ability to work well on a team to accomplish goals.
  • Ability to work overtime without prior notice and work flexible hours as required.
  • Proficient in MS Office Suite.
  • Must be able to work without direct supervision.
  • Must have knowledge to be able to read and interpret laws, policies and procedures.

General Information:


Position Type and Typical Hours of Work:

  • Regular Full-time-
  • Monday
  • Friday | 8:00 A.M. to 4:30 P.M.-
  • Overtime mandatory during Election cycles.
  • Must be willing to work overtime

    Work Environment and Physical Demands:
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filling cabinets, and fax machines.
  • This job is primarily a sedentary role, walking and standing are required only occasionally. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
