- The City of Irvine is conducting an open recruitment for a confident, selfmotivated and detailoriented Administrative Assistant. The Administrative Assistant will coordinate and perform a variety of highly responsible and confidential administrative support tasks for the Department of Public Works & Sustainability.
Administrative Assistant I $55, $ 87,900.80 Annually*- Administrative Assistant II $60, $ 95,180.80 Annually*-
The salary range above includes a 3.5% salary increase on July 1, 2024 as covered in the bargaining agreement.
Your Impact:
Administrative Assistant I/II
- Researches, compiles, and analyzes data; preparing and presenting written reports, correspondence, and illustrative announcements including charts and graphs.
- Acts as liaison between division head, clerical staff, City officials, and possibly the public by screening and referring calls and messages.
- Manages appointment and meeting schedules, makes travel arrangements, maintains calendars, and arranges meetings and conferences. Ensures deadlines are met by maintaining a system to inform and remind staff of assignments.
- Assists with maintaining the department/division budget including the monitoring of purchases.
- Coordinates division office support functions and activities. Prioritizes and assigns tasks and projects.
- Trains other staff as assigned; may assist with onboarding and the processing of personnel/payroll documents for contractors and consultants, as well as employees.
- Conducts surveys and may participate in contract administration, maintaining records and files.
- May act as backup to Executive Assistant.
- Maintains knowledge of overall City and Department/Division organization, responsibilities and activities; modern office methods such as rules of grammar, spelling and punctuation; and personnel supervision, training, and performance evaluation principles.
_Administrative Assistant II -__This is the journey level position in the Administrative Assistant series and is responsible for performing the full range of administrative activities on a broader scale for a division head. Position requires more independent tasks and anticipation of the needs of the department/division._**
Minimum Qualifications:
- Coursework (Community College) in office practices or related field.
- Four years increasingly responsible administrative support experience, or any combination of education and experience that provides equivalent knowledge, skills, and abilities.
- May require a valid California driver's license.

- Experience with Lucity, CMMS (computerized maintenance management system) or a similar asset management database system is desirable.
