Job Status:12-month, Non-exempt ($33.65/Hour)
Schedule:
Monday - Friday, (Days/Hours TBD - 25 Hours a week)

Description:
The Human Resources Administrative Specialist will support the Director of Human Resources by
providing organized, professional level clerical support related to a wide variety of administrative functions that
broadly support employees and volunteers. The duties will be in support of higher level duties guided by
management and annual duties specific to human resources functions.

Responsibilities
- Support all duties related to employee benefits coordination, annual open enrollment, benefits billing/auditing,
- Assist with monthly corrections and adjustments to ACA data in the organizational HRIS system

- Program to maintain driving records and insurance information
- Support the department with special projects and ongoing organizational upkeep of hardcopy personnel

- Support records retention efforts with specific guidance from the Director
- Support other duties as assigned specific to the human resources related duties at the behest of the Director
- Assist as backup to HR Operations Specialist with employee action forms to ensure employees are paid within
- Fill in when departmental counterpart is unavailable
- Maintain accurate personnel/medical files based upon guidance from the Director
- Maintain utmost confidentiality for management of school, finance and personnel information including
- Assist with customer service duties specific to internal and external HRrelated inquiries from employees
- Assist the Director with special project support
- Respond to employee inquiries related to benefits and HR policies/practices in an effective and timely manner
- Assist faculty/staff with navigating higher education reimbursements and timely submission of professional
- development requests
- Assist with creating orientation materials and training guides.
- Provide daily phone support for the department
Knowledge, Skills & Abilities
- Have detailed knowledge and familiarity with California and Federal regulations and laws and HR policies and
- Must be moderately to highly skilled in using an office computer, including use of Microsoft Suite tools (Outlook,
- Maintain a high level of confidentiality in all aspects of daily work
- Be highly motivated w/strong organizational, problem solving, & oral/written communication skills
- Communicate effectively and courteously with all contacts (internal and external) and provide exceptional
- Possess a calm disposition with a sense of urgency to effectively manage and deliver on multiple and often
- Other duties as assigned by the Director of Human Resources
Education & Experience
- Associate degree in business, HR management, or other related field; (Bachelor's degree desirable)
- Minimum of one year HR generalist experience
- Minimum of one year prior experience using HRIS payroll/database
- Previous experience in educational setting; HR role with an understanding of 10month and 12month employee
PHYSICAL REQUIREMENTS:
The physical demands described here are representative of those that must be met
by an employee to successfully perform the essential functions of this job. Position requires the ability to perform
occasional light lifting and carrying; standing and walking; and sitting for prolonged periods of time. Occasional
hand use and finger dexterity needed to use computer keyboard and operate standard office equipment;
occasional pushing, pulling, grasping, and reaching may also be required. Good hearing is required when
communicating on the telephone or in person.
