The Project Administrator is responsible for assisting Project Management and Field Management Teams with administration tasks. Position includes daily time management skills and to see tasks through to successful completion.


HERE'S WHAT YOU GET TO DO:

Safety

  • Enforce the DAVIS Safety program in accordance with DAVIS Policies and Processes, local, state, and federal laws to include all subcontractors

Technical Knowledge

  • Provide overall administrative support to project teams
  • Schedule meetings, order lunches, maintain conference rooms, order office supplies from Office Services
  • Manage logistics of project meetings setup meeting rooms, make packets for attendees, document meeting minutes, and order refreshments
  • Assist in adding information utilizing Deltek Vision with Opportunity tracking, resource management, and tasks to support the Project Executive / Vice President
  • Ensure the project folders have the updated drawings
  • Collect closeout documents including O&M's, warranties, asbuilt drawings and LEED documentation
  • Assist in the subcontractor bidding process
  • Assist Project Coordinator with management of all project documents, electronically post and update drawings with RFIs and submittal including providing interface with and support field operations staff with construction document management, daily field report management and other field related duties
  • Prepare and monitor tracking logs for contract documents, submittals, shop drawings, requests for information (RFI's), change orders, material deliveries, LEED Documentation and other quality control
  • Track and obtain properly executed documents to include contracts, insurance certificates, bonds and other documents as required
  • Take progress photos and save onto server; issue a photo report, as necessary
  • Create, and update, project directories in Outlook
  • Collect, review and log Certified Payroll, as necessary
  • Assist in the completion of expense reimbursements and timecards for the project team
  • Perform other duties as assigned

Quality of Work

  • Using DAVIS standards, review and prepare proper submittals and project deliverables to comply with contract documents
  • Assists with quality control and deficiency logs utilizing Latista, or similar software
  • Learn and coordinate with other project team members to assure adherence to Best Practices

  • Takes the necessary steps in following tasks through to completion
  • Participate with the retention and recruiting of current and future DAVIS employees

  • Actively participate and promote a collaborative environment with owners, property managers, design team members, coworkers, subcontractors, vendors and other contractors to enhance effective communication
  • Exhibit and promote the proper teamwork approach with all individuals and companies on the project

  • Exhibit and promote the proper project team communication both internally and externally throughout the preconstruction and construction process

Problem Solving

  • Identify, recognize and resolve project issues as necessary to support project team
  • Develop skills by soliciting project team member help to write a fully coordinated RFI in order to offer solutions and field information to the design team
  • Implement solutions in a timely manner

Planning & Organization

  • Manage project priorities and execute tasks effectively
  • Organize workflow, workspace, files and resources effectively
  • Plan for future tasks and projects

Timeliness

  • Demonstrate punctuality and fulfill attendance expectations
  • Execute timeliness of project specific duties

Management & Leadership

  • Assist in the organization and education of project team members
  • Participate in regularly scheduled project staff meetings

  • Previous administrative support experience preferred
  • Decision making, research and analytical problem solving skills
  • Time management with the ability to organize, assess and prioritize multiple tasks, projects, and demands, and to work independently
  • Possess strong verbal and written communication skills, and interact effectively at all levels within the organization
