The Events Manager, The Elwood Club is responsible for planning, preparation, execution, participation and social aspect of all Elwood Club programming and events.

They must execute in a timely and organized planning process to ensure that proper lead time is given the marketing and promotion of programming and events is created and executed, BEOs are created accurately, day-of event coordination is complete, set-up and execution is to brand standard and involvement in the event as a participant to build member relations while finding opportunities for improvement.


ESSENTIAL FUNCTIONS

  • Focus on preevent coordination to ensure that dayof production is seamless, collaborating and communicating with all relative departments.
  • Finalize timeline of events, arrivals details, hospitality requirements, AV/tech needs, etc. alongside Production team.
  • Coordinate all music entertainment prior to event and ensure talent is prepared, equipment is secured and setup and post event details are organized.
  • Work directly with the events and catering team to create BEO's within timeline of hotel operations and plans for seamless execution for member events.
  • Partner with Corporate Director of Brand Experience and Club Programming to assist in managing programming calendar regarding schedule and balanced content with a minimum 2month lead time of development (holiday and peak dates may require longer lead time planning)
  • Partner with PR/Marketing Manager to organize marketing collateral alongside production team; compile info from talent & submit design request forms for marketing collateral (including but not limited to: invitations, monthly newsletter, boards, etc.)
  • Approve copy for programming collateral before it goes out (Newsletter, Screens, Folded Calendars, Programs).
  • Participate in walkthroughs with partners and talent.
  • Manage Member Boardroom reservations and execution of meetings.
  • Manage private member events in The Elwood space inclusive of cocktail parties, large dining events and other member events and clearly communicate to departments as required.
  • Interact positively with guests promoting hotel facilities and services. Resolve problems to the satisfaction of involved parties. Maintain communication with all departments to ensure guest service needs are met.
  • Provide support of a specialist nature to the Executive Committee.
  • Develop strong relationships with members through participation in dinners, events and programs.
  • Ensure vendor billing and payments are completed in a timely manner through birchstreet.

QUALIFICATIONS

  • Being comfortable in conversing with talent, members, guests and potential members regarding events and our various programs and amenities
  • Able to entertain and socialize with members and guests consistently during all programming events.
  • Available during week and weekends and late evenings.
  • Comfortable being filmed for videos to promote upcoming programming and happenings in the club
  • Must always be a positive and articulate ambassador of the brand
  • Highly organized & detailoriented
  • Able to flourish while working against deadlines
  • Ability to coordinate and oversee multiple tasks simultaneously
  • Excellent interpersonal & communication skills
  • MS Office Suite including PPT and Excel
  • Delphi Experience
  • Efficient with Google Calendar/Docs/Outlook/Chrome
  • Minimum Bachelor's Degree
  • Minimum 5+ years' experience in Executing Events from start to finish

PHYSICAL REQUIREMENTS
Most work tasks are performed indoors. Position requires walking and giving direction most of the working day. Must be able to exert well-paced ability to maneuver between functions occurring simultaneously. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Must be able to lift trays of food or food items weighing up to 30 lbs. frequently. Must be able to push and pull carts and equipment weighing up to 250 lbs. occasionally.

The pay scale* forEvents Manager, The Elwood Club is $72,000-$75,000.

  • The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position.
