Overview/Purpose:

The Foundation & Development Associate is primarily responsible for assisting the _Executive Director, The Alfred E.

Smith Memorial Foundation and Senior Director of Development (EDAESF)_ with drafting correspondence, managing calendars, producing and distributing meeting materials, and taking meeting minutes.

The Associate will also assist the _Executive Director, NY Catholic Foundation_, _and Senior Director of Development (EDNYCF)_ with donor research, scheduling, and event support.

This position requires careful attention to detail and ability to communicate clearly.


Reports to:
Executive Director, The Alfred E. Smith Memorial Foundation and Senior Director of Development (EDAESF)


Responsibilities:


  • Support Smith Foundation Dinner by recording income and expenses on event trackers, and assisting with intake of sponsorship responses and creating pledge invoices and completing any corporate payment forms.
  • Calendar meetings relating to the Smith Dinner and Foundation with supporters, Board members, prospects, consultants, vendors, and internal departments.
  • Prepare materials for committee and Board meetings as directed by Executive Director.
  • Take accurate notes at Board and committee meetings and produce minutes in a timely manner.
  • Coordinate and update timelines for Smith Foundation enewsletters, Board updates, Dinner, biannual Board meetings.
  • Prepare memorandums and merge tax letters, and acknowledgements relating to the Smith Foundation.
  • Review Executive Directors' portfolios weekly to schedule new appointments including 24 meetings each week; as well as research and draft board member, portfolio, prospect, and leadership cultivation briefings and communications.
  • Collaborate with colleagues in the marketing team and Development Office where needed.
  • Update and maintain Smith Foundation grantee contact information, coordinate with Finance and Accounts Payable to ensure accurate and timely grant distributions, and organize grant and Foundation summary reports.
  • Maintain highly detailed Smith Foundation Board member records, their meeting and committee participation, and terms.
  • Assist with leadership supporter events, including Cornerstone Dinner, special Masses and Receptions at St. Patrick's Cathedral, and others as developed.
  • Liaise with Donor Database Center for lists, pledge reports, constituent record updates, and action items.
  • Owns the Smith Foundation computer drive and leadership supporter folders in Development drives.
  • Assist in the coordination of campaign activities and mailings to support functions across the Development Office as needed.
  • Perform other duties and assist with special projects as needed.
  • Represent the Archdiocese in a professional and positive manner.
  • Prepare precise, wellwritten, and articulate correspondence.
  • Support the Director of Donor Relations and Executive Director with high standard administrative work for excellent top donor management.

Education, Experience, and Skills:


  • Bachelor's degree required.
  • 12 years of experience preferred.
  • Ability to work overtime and weekends in September and October leading into Smith Dinner, annually.
  • Detail oriented.
  • Excellent interpersonal and communication skills, including strong written and verbal skills, and ability to communicate in an effective and respectful manner.
  • Strong organizational and timemanagement skills, including the ability to prioritize and manage multiple projects simultaneously with high attention to detail.
  • Ability to listen and distill information to act on assigned projects.
  • Ability to take on added responsibility as it is presented.
  • Strong knowledge of Microsoft Office, Raiser's Edge, Lexis Nexis.
  • A deep understanding of Catholic culture.

Pay:
$ $32.97 per hour
