Job Summary:
Duties:
- Greet and welcome visitors in a friendly and professional manner.
- Answer and direct phone calls, taking messages as necessary.
- Manage and maintain schedules, appointments, travel arrangements, and maintain calendars.
- Perform clrerical duties such as typing, filing, and transcribing.
- Maintain office supplies inventory and place orders as needed.
- Ensure the reception area is tidy and presentable.
- Create and modify PDF documents.
- Manage and maintain QuickBooks records.
- Organize and maintain expenses and contract records.
- Perform general bookkeeping duties.
- Ensure accurate and timely entry of financial data.
- Assist with other administrative tasks as needed.
Requirements:
- Proven work experience as a Secretary, Receptionist, or similar role.
- Familiarity with organizing and keeping expenses and contract records.
- Must know Quickbooks.
- Proficiency in Microsoft Excel, Word, Publisher, and other office software.
- Must speak English and have communication skills.
- Strong organizational and multitasking abilities.
- Attention to detail and problemsolving skills.
- Creative and Driven.
- Ability to handle confidential information with discretion.
- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
- Valid driver's license and ability to drive is a plus, but not required.
Preferred Qualifications:
- Experience with office management systems and procedures.
- Knowledge of other languages is an asset.
- Familiarity with office equipment, like printers fax machines, computers, etc.
