SUMMARY
The Receptionist-Scheduler is the point of contact for all clinic program participants.

This employee manages the clinic appointments and overall schedule for each clinician, both for the clinic and its satellite locations, greets persons coming in to the clinic, answers the phone, and participates in making sure that the office runs smoothly.


DUTIES AND RESPONSIBILITIES- Greets people on arrival at the clinic and informs appropriate parties of their arrival According to clinicians' instructions, in the clinic's electronic record keeping system, schedules all face-to-face and telehealth clinical appointments for all clinicians at the clinic and all satellite locations, schedules return appointments on checkout, and reschedules canceled and missed appointments Makes all appointment reminder calls, and documents them in the system Updates patient demographic information in the system Checks in patients on arrival at the clinic, including verifying insurance and demographic information, collecting co-pays and balances, and processing credit and debit cards Daily, checks in or cancels each scheduled appointment for every location, based on information received from clinicians Runs reports specific to schedule and provider including kept appointments, rescheduled appointments, and no-shows Scanning, filing, and other clerical tasks, as needed Participates in ordering supplies and maintaining inventory Participates in opening and/or closing the clinic and maintaining the waiting area and other common areas Participates in providing support to patients with arranging transportation as needed Participates in department meetings, regular supervisory conferences, and other meetings and trainings as required Other duties as may be required
QUALIFICATIONSHigh school diploma or GED; Bachelor's degree preferred 1-2 years of relevant experience, preferably in a clinic/healthcare setting Bilingual English/Spanish required Computer proficiency required and database/electronic health record experience preferred Meticulous attention to detail, results oriented, and strong organizational skills Pleasant, welcoming demeanor; enjoys interacting with colleagues and community Ability to work under pressure Ability to work independently and seamlessly as part of a team, demonstrating flexibility, adaptability, and creativity
