JOB SUMMARY


The Sales Administration Manager provides support for the needs of the Sales organization comprised of twelve different sales teams (both inside and outside) and oversees the activities of Sales Assistants, who support the work of those teams.

This position oversees the development of prospective customer contracts and the preparation of proposals (including intricate Request for Proposals from large corporations, Municipalities, and State departments), internal approvals, sales reports and interdepartmental correspondence.

This position provides support to the Vice President of Sales and Growth for various projects, reporting, and initiatives for continuous improvement and expansion.

In addition, the Sales Administration Manager performs complex administrative functions and special projects as assigned.


CORE RESPONSIBILITIES

  • Organize and supervise the daily activities of Sales Assistants.
  • Liaise with prospective and some existing customers as needed to support the sales effort.
  • Support assigned Sales Teams with customer relationship management (CRM), process flow and coordination with internal departments.
  • Oversee the preparation and coordination, with multiple internal departments, to complete requests for proposal (RFP) documents as well as presentations in a timely manner.
  • Oversee and coordinate the contract edit process for third party contract approvals between legal and the sales teams.
  • Prepare and submit sales reports and interdepartmental correspondence.
  • Supervise cross training among Sales Assistants.
  • Coordinate the training schedules for onboarding new sales employees
  • Caliper testing, equipment and business cards.
  • Oversee the CRM close out process for opportunities for assigned teams.
  • Effective communication with internal departments to move the sales process forward efficiently primarily for onboarding new customers.
  • Oversee Coordination of events for assigned sales teams.
  • Oversee Coordination of team travel arrangements.
  • Schedule departmental meetings and assist in preparation and distribution of meeting agendas and materials
  • Coordinate registration for Chamber events, etc.
  • Other duties as assigned.

REQUIRED SKILLS & QUALIFICATIONS

  • High School diploma or its equivalent
  • Five years of administrative experience
  • Three years of supervisory experience
  • High level of proficiency with the Microsoft Office suite e.g. Word, Excel, Outlook, Power Point
  • Professional telephone and personal presence
  • Strong verbal and written communication skills in English
  • Must be detail oriented with a strong work ethic
  • Must be able to adapt well to change
  • Must be able to work well with internal customers at all levels of the company
  • Calm yet strong demeanor in the face of deadlines
  • High level of attention to detail and timelines
  • Ability to work in an environment that is constantly growing and evolving
  • Project Management and continuous improvement experience
  • Ability to train, delegate, and empower team members

PREFERRED SKILLS & QUALIFICATIONS

  • College Degree
  • Working knowledge of complex contracts
  • Customer Relations Management (CRM) software experience
  • Knowledge of document creation and management with Adobe
