SUMMARY


The responsibilities of the incumbent include, but are not limited to opening, routing, and responding to correspondence, answering the telephone and routing/taking messages, as well as providing high-level general clerical support to the manager and assigned supervisor.

Secondary duties will include various special projects related to the events and activities in which the organization or manager is involved.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Utilizes computer hardware and software to produce documents.
Reads and routes incoming mail. Locates and attaches appropriate files to correspondence to be answered by the Manager.

Takes dictation in shorthand or by machine and transcribes notes on a typewriter or computer, or transcribes from voice recordings.

Composes and types routine and complex correspondence requiring ability to create merge documents and graphics.
Organizes and maintains file system, and files correspondence and other records.
Answers and screens manager's telephone calls, and arranges conference calls.
Coordinates manager's schedule and makes appointments.
Greets scheduled visitors and conduct to appropriate area or person.
Arrange and coordinate travel schedules and reservations.
Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
Makes copies of correspondence or other printed materials.-Ensures office environment is sanitary and organized.
Orders and maintains supplies, and arranges for equipment maintenance.
Shall only help with medical plan calls only and not verify payments in the system.


SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.


QUALIFICATIONS

EDUCATION and/or EXPERIENCE
Associate's degree (A. A.) or equivalent from two-year college or technical school; and two years or more of related experience and/or training; or equivalent combination of education and experience.


LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals.

Requires ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

This position may require bilingual and/or bi-literate ability (English/Spanish).


MATHEMATICAL SKILLS

REASONING ABILITY


Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.


CERTIFICATES, LICENSES, REGISTRATIONS
Requires the ability to type at a rate of not less than 50 Net Words Per Minute (NWPM).
