Job description
We are looking for a Medical Office Receptionist and Insurance Billing Specialist to help manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks including some insurance billing and coding. As a Medical Office Receptionist and Insurance Billing Specialist, you will be the first point of contact for our company. The duties of this position include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, answer patient phone calls, answer questions, appoint patients to schedule, check patients in and out, obtain prior insurance authorizations for patient procedures, and collect co-pays, deductibles, and surgical fees. To be successful as a Medical Office Receptionist and Insurance Billing Specialist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and time management skills are essential for this position. Ultimately, the duties and responsibilities of the position are to ensure the front desk welcomes patients positively and executes all administrative tasks to the highest quality standards. You will also be responsible for creating, sending and receiving professional correspondence, entering and scanning patient information into the electronic medical record system, as well as sending, receiving and maintaining medical records. Responsibilities also include overseeing billing and coding operations of our 3rd party billing company and reviewing for accuracy, and clarifying billing questions as needed. You should also expect to collect and enter payments into practice management software and other clerical duties as assigned.
Responsibilities
- Greet and welcome patients as soon as they arrive at the office
- Assist / instruct patients with necessary paperwork upon signing in.
- Check patients out and make follow-up appointments.
- Answer, screen and forward incoming phone calls
- Appoint patients to schedule
- Ensure reception area is tidy and presentable
- Oversee 3rd party billing operations and assist with billing/coding clarifications when necessary.
- Provide basic and accurate information in-person and via phone/email
- Maintain office security by following safety procedures and controlling access via the reception desk
- Perform other clerical receptionist duties such as filing, photocopying, scanning and faxing
- Create, send and receive professional correspondence, enter and scan patient information into the electronical medical record system.
- Send, receive and maintain medical records.
- Collect and enter payments to practice management software and other clerical duties as assigned.
- Knowledge of Nextech Practice Management and Electronic Medical Record system a plus.
Skills
- Proven work experience as a Medical Office Receptionist and Insurance Billing Specialist, Receptionist, Front Office Representative, medical biller and coder or similar role
- Proficiency in Microsoft Office Suite
- Insurance billing and coding
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school degree
