    Description

    As a Sales Admin, you will be responsible for overseeing the quotation process from the initial request to the final submission to the customer. You will collaborate closely with the Project Manager, Sales, Engineering, and Production teams to ensure accurate and timely quotations. Enter sales orders into the system, verifying that the order matches the specifications outlined in the quotation. Additionally, you will follow up with sales and/or customers on quotes that were sent, ensuring timely responses, and addressing any inquiries or concerns, track quotation progress, assist multiple departments with record detention, and various tasks as needed.

    Responsibilities

    • Assisting with product costing for quoting new business opportunities. Set up new items, setting up BOM and Routing guides. Updating items, BOM and routing guides.
    • Works closely with and provide back-up for other quotation specialist as needed.
    • Works with sales and customers to gather missing information on new products.
    • Calculates item cost based on information regarding pricing, order minimums, and product characteristics.
    • Creates quotes with complete details including minimum runs, truckload quantities, lead times, and other important information.
    • Complies a packet for production on new items which will include- sample request forms, work orders, and CAD drawings.
    • Assist in the sample process and maintain detailed records of samples sent to customers.
    • Complete the new item set documentation.
    • Complete needed information to create or update BOM & routing guides while checking to make sure the information is accurate.
    • Communicate with the customers via phone, email, and virtual meetings using Microsoft Teams.
    • Receives and processes incoming sales orders via all sources such as fax, email, customer portals and EDI, while making sure the data is accurate against quotes or customer files.
    • Update the customer information data base as needed.
    • Communicate to the customer any conditions that affect fulfillment of the order; i.e: scheduling changes, material availability, pricing and/ or shipping.
    • Works closely with internal personnel, production, quality, shipping and management regarding customer needs.
    • Maintains customer files including sales orders, quotes, order acknowledgements, and shipping documentation.
    • Works closely with shipping with documentation and shipping priorities.
    • Works closely with Customer Service Manager and Project Manager to make sure quoting process goes smoothly and quickly.
    • Assists with meeting project deadlines and timelines.
    • Ensure all invoices are processed through the system, research discrepancies, and enter credits as needed.
    • Other duties assigned by Manager.

    Qualifications

    • High School Diploma or Equivalent
    • Four years of related manufacturing experience is required.
    • Prior quoting and costing experience in a manufacturing environment is required.
    • Experience with Bills of Materials (BOM) and routing in a manufacturing setting.
    • Proficiency in reading and understanding CAD (Computer-Aided Design) drawings
    • Strong computer skills, including proficiency in typing and navigating various software applications.
    • Excellent math skills, including the ability to perform calculations and analyze numerical data accurately.
    • Proficiency in Excel and advanced formula skills are necessary.
    • Excellent communication skills, both written and verbal, with the ability to convey complex information clearly and effectively.
    • Strong email etiquette and the ability to communicate professionally in written correspondence.
    • Ability to work on multiple projects at one time while providing complete details and accuracy.
    • Strong organizational skills, with the ability to prioritize tasks and meet deadlines effectively.
    • Advanced proficiency in Microsoft applications, including Word, Excel, and PowerPoint.
    • Experience with data management and the ability to organize and manipulate large datasets.

    Preferred Qualifications

    • Associate degree in Business, Operations, or Supply Chain Management is preferred.
    • Previous experience with JDE (JD Edwards) software is a plus.
    • Proactive mindset with a continuous improvement mindset, actively seeking opportunities for efficiencies and process improvements.
